Overnight Booking Engine with Guestline – Guestline Setup Guide

Everything that needs to be configured in Guestline/Roomlynx to support the Overnight Booking Engine integration with Trybe, including rate plans, upsell products, pay codes, and credentials.

Overview

This guide covers everything that needs to be configured on the Guestline / Roomlynx side to support the Trybe Overnight Booking Engine integration. It is intended to be used alongside the Trybe Setup Guide and should be completed (or at least planned) before Trybe begins the backend configuration.

For context: once a guest books a spa break package via the Trybe booking engine, Guestline receives the reservation automatically. Room pricing and availability are pulled live from Guestline, and spa elements are posted back as upsells on the reservation.

Who does this? The Guestline configuration is completed by the hotel's Guestline administrator. If you need assistance with any of the steps below, contact the Guestline support team.

Prerequisites

Before starting, ensure your base Guestline integration with Trybe is already active. This covers your Site ID, Operator ID, deposit codes, analysis codes, and payment code mappings. If not yet done, see the Guestline integration guide first.

The Overnight Booking Engine builds on top of this base integration and requires additional configuration in Guestline specifically for overnight packages.

Step 1 - Provide Credentials to Trybe

Trybe needs credentials from Guestline to connect to your PMS and pull live room rates, availability, images, and descriptions. These credentials are provided by Guestline, not configured by the hotel directly.

To begin:

  1. Contact your Guestline account manager or the Guestline support team to let them know you are integrating with Trybe's Overnight Booking Engine.

  2. Guestline will provide the necessary credentials. Trybe will handle the rest of the backend setup once these are received.

Step 2 - Set Up Room Rate Plans

The Overnight Booking Engine pulls room rates directly from your Guestline rate plans. For each package you intend to offer through Trybe, you must have a corresponding rate plan set up in Guestline.

Rate plans must be configured as either:

  • Bed only

  • Bed and breakfast

If you need to create new rate plans or are unsure how to map them correctly for the integration, contact the Guestline support team for assistance.

Important: The rate plan code in Guestline is what Trybe will use to link a package type to a room rate. Make sure the code is consistent and clearly named (e.g. SPABREAK1, BB2NIGHT) so it's easy to match up when configuring packages in Trybe.

Step 3 - Create Upsell Products for Spa Revenue Centres

This is the most critical part of the Guestline setup. For every Revenue Centre in Trybe that you assign to a spa choice in a package, you must create a corresponding Upsell Product in Guestline.

When Trybe posts a completed overnight booking to Guestline, the spa elements are posted as upsells against the reservation. The Upsell Product Code in Guestline must exactly match the Revenue Centre name/ID in Trybe for the posting to work correctly.

Required Upsell Product Settings

When creating each Upsell Product in Guestline, configure the following:

  • Product Code: Must exactly match the Revenue Centre ID used in Trybe

  • Charge mode: Single charge

  • Posting mode: Day of arrival

Critical: If the charge mode or posting mode are set incorrectly, spa revenue will not post to the reservation correctly. Double-check these settings for every upsell product you create.

Default Revenue Centre Product Codes

Trybe has two default Revenue Centres that have fixed Product Codes in Guestline:

  • Default Spa Treatment Revenue Centre → Product Code: spa

  • Food & Beverage Revenue Centre → Product Code: fb

When you create the Product Codes in Guestline they will automatically save as block capitals. Trybe IDs are set in lowercase but when we send these over we convert to block capitals to match the code in Guestline.

For any custom Revenue Centres created in Trybe (e.g. THERMAL, RASUL, RETAIL), create a Guestline Upsell Product with a Product Code that exactly matches the Revenue Centre ID in Trybe.

Tip: Ask your Trybe contact for a full list of the Revenue Centre IDs being used in the overnight packages before creating the upsell products. This avoids typos or mismatches.

Step 4 - Confirm Pay Codes

For overnight bookings, payments are sent across as a Deposit on the reservation. If you want the Deposit to be attributed to particular Pay codes, you will need to set this up. Refer to reference guide.

Because overnight bookings are fully paid at the time of booking, the reservation in Guestline will show a Deposit Received equal to the total package price, with a Remaining Balance of £0.

What Appears in Guestline After a Booking

Once a guest completes a booking via the Trybe booking engine, a reservation will appear in Rezlynx automatically. Here's what you will see:

On the Main tab of the reservation:

  • The Rate Plan used (e.g. your Spa Break rate)

  • A nightly breakdown of the room cost

  • A Breakdown of all spa elements in the Upsells tab

  • Deposit Received = total package value; Remaining Balance = £0

On the Upsells tab of the reservation:

  • A line-by-line breakdown of all spa elements from the package (e.g. Thermal Access, Treatment, Afternoon Tea), posted to their respective Upsell Products

  • Any optional upsells the guest selected at the time of booking

Guestline Go-Live Checklist

Before confirming readiness to Trybe, check the following:

  • Credentials provided to / received by Trybe

  • Rate plans created in Guestline for each package (bed only or B&B)

  • Upsell Products created for every Revenue Centre used in Trybe packages

  • Upsell Product codes exactly match Revenue Centre IDs in Trybe (these are not lower case or upper case sensitive)

  • All Upsell Products set to charge mode: Single charge and posting mode: Day of arrival

  • Test reservation reviewed in Rezlynx after a test booking from Trybe
