Order emails

Want to know how to activate follow up/reminder emails and create email templates?

On Trybe you are able to set up certain emails that will be received by your guests.

To access this head to Settings > Marketing & Communications > Email templates

Here you will be able to set up:

  • Reminder emails

  • Follow up emails

  • Templates

Reminder emails

If you want your guests to receive reminder emails about their upcoming bookings, you can opt in for automatic reminder emails!

To do this head to Settings > Marketing & comms > Email templates > toggle on the 'Send reminder emails'.

Once this has been toggled on more options will appear so you can tailor when the customer will receive their reminder email.

  • Days before booking - here you will be able to select how many days before the booking the email should be sent. Choose between 1-10 days from the drop down menu.

  • Time to send - select the time that you want the email to be sent. This uses the 24 hour clock format.

Press 'Save' when you are happy with the settings you have set up.

Once you've activated Reminder emails, you'll need to create a Template to add the text you want included in these emails. If you don't create a template, customers won't start receiving these. See the below 'Template' link on how to customise the messaging on these emails.

Don't forget: A reminder email will not be sent if the booking is made after the day that the reminder would be sent.

Follow up emails

If you would like your guests to receive follow up emails for recent bookings they've had, you can opt in for automatic follow up emails!

To do this head to Settings > Marketing & Communications > Email templates > toggle on 'Send follow up emails'.

Once this has been toggled on more options will appear so you can tailor when the customer will receive their follow up email.

  • Days after booking - here you will be able to select how many days after the booking the email should be sent. Choose between 1-10 days from the drop down menu.

  • Time to send - select the time that you want the email to be sent. This uses the 24 hour clock format.

Press 'Save' when you are happy with the settings you have set up.

Once you've activated Follow up emails, you'll need to create a Template to add the text you want included in these emails. If you don't create a template, customers won't start receiving these. See the below 'Template' link on how to customise the messaging on these emails.

Don't forget: In order for the follow-up to be sent, you will need to ensure the orders are checked out before the follow-up is due to be sent. Otherwise, the clients won't receive it.

Within these templates, you can add hyperlinks to direct customers to another web page or form. For example, within your follow up emails you could include a hyperlink to take the customer to a Feedback Survey (you can use tools like SurveyMonkey) and/or hyperlinks to a TripAdvisor page.

Please note: Trybe does not have an inbuilt feedback form. If you would like to receive feedback from your customers you'll be able to add hyperlinks to your Follow up emails to direct your customers to fill out a survey or external feedback/review platform you use.

Manage order button

Here you can decide to hide the "Manage your order" button from emails.

Automatically a "Manage your order" button will appear on your confirmation emails and reminder emails. This button allows the customer to be taken directly to their account section on the shop front where they can view their order (order ref, items, date, time, price), fill out the intake form (if required), cancel the item (if allowed).

If you want to hide the "Manage your order" button from emails then you can head to Settings > Marketing & Communications > Email templates > toggle on 'Hide manage order button".

Once toggled on, this section is automatically saved so the "Manage your order" button will not appear in your emails. Hiding the manage order button is helpful if you have a custom order management solution.


Please note - hiding the manage order button will only hide this from emails, your customers will still be able to access their order via the My account section on the shop front. If you do not want the My account/ manage order section available to your guests at all then you will have to toggle on "Hide My Account section" in the "Features" section on Shop settings too.

Email visibility settings

If you would like to configure what additional information is displayed in your emails then you can head to Settings > Marketing & Communications > Email templates > scroll to "Email visibility settings"...

Here you can choose to include additional information in your confirmation, reminder and order summary emails.

If you select on the type of email (Confirmation, Reminder, Order Summary) you will then have the option to toggle on the following...

  • Show guest names - toggle this on if you want to include guest names in email templates

  • Show day of week - toggle this on if you want to include day of the week in email templates. (Please note for packages that have items booked across multiple dates the day of the week will only be shown for the start date of the package)

  • Show practitioner names - toggle this on if you want to include practitioner names in email template. This will be for any appointments (as all appointments require a practitioner) and any sessions that have a practitioner assigned to them

  • Show end times - toggle this on if you want to include end times of your offerings in the email template.

⚠️ This section automatically saves.
