Orders page

To view any orders in Trybe head to the Orders tab on the left side panel > All orders.

Here you will see a collection of all the orders that have ever been in your Trybe system. You can go through the various pages by the numbers at the bottom of the page.

The results will display the following information:

  • Ref – the order number

  • Status

  • Item date

  • Client

  • Cost

  • Labels – this will show any order labels that have been added to the order (It will not show the client labels here!)

You can export these orders to a spreadsheet by clicking the Export button. From there, you'll be able to save or print the data as needed. Also, if you'd like to create a new order from that page, simply click the + New Order button:

Show item previews

The Show item previews filter will be toggled on by default, which will allow you to see what items are included in the order:

If you do not want to see the items included in the order, you can toggle this off and it will only list the orders without showing their contents:

Search

Each order in your Trybe system has a unique five or six letter/digit order reference. You can use this reference to find the order on the Orders page.

The search filter allows you to search the system for orders by entering the unique order reference, customer name or item.

  • If you enter the order reference it will provide you with the one result as all order references are only linked to one specific order. As each order reference is unique, a successful search will return a single matching order.

    • Please don't forget: When searching by order reference it must be entered in capital letters. If it is entered in lowercase, the system will not find the order and will display "Nothing found".

  • If you enter the customer name i.e. John Smith, it will provide you with all orders with a client named John Smith and as you scroll down it will also provide you with any other Johns or Smiths.

  • If you enter the item it will provide you with all orders that have this item in it. For example, if you searched 'Radiance facial' it will show you all the orders include 'Radiance facial' but also any other orders with an item with 'facial' in the name.

It is best to search using the order reference as it will give you the one result as shown in the screenshot.

Filters

You can use Filters to narrow down what specific orders you want to see. You can also use multiple filters at once to make your search even more specific!

To add filter, simply click on Add filter at the top left of the Orders page:

A pop-up window will appear showing all the filters below:

Status

You can choose to filter via the Status of the order.


Once toggled on, the statuses you can choose from are the below:

  • New

  • No show

  • Submitted

  • Settled

  • Cancelled

Once a status is selected, select Apply.

You can use this filter to keep track of your orders. For example, you could filter by 'No show' along with the 'Item date' filter and then get in contact with the guests that did not show up for their booking.

Item date

You can use the Item date filter to set a date range of the when the booking is taking place. When this is toggled on, by entering the desired date you will be able to track upcoming booking and find previous bookings.


​You could use this if you need to contact all guests that are coming into the spa on a certain day. You could set the date range to the one day then all the orders for that day will show up and you will be able to contact the guests booked in accordingly.

Revenue date

You can toggle on Revenue date if you want to filter for items with a revenue date between these dates:

The revenue date filter is used to filter orders based on when the revenue is actually realised (i.e. tied to the booking), not when the order was created or paid. The revenue date is usually the latest booked date within an order if it includes multiple items across different days.

Item status

If you want to look at the status of the items within an order, you can toggle on the Item status filter which will list the below statuses:

  • Reserved

  • Waitlisted

  • Confirmed

  • Cancelled

This filter is useful if, for example, you want to view orders where clients are on the waitlist for a session or where an item has been reserved but has not yet been confirmed.

Labels

Use the Labels to filter via the order labels that have been attached to the orders in your system. Select the label/ labels from the drop menu.

You can select a label which will then show results for all orders with this specific order label attached. Select Apply to apply the filter.

For example, you could filter via a label called 'Hotel guest' and select a certain 'Item date', you will then be able to see all booking with the 'Hotel guest' order label within the date range.

Offering types

Use the Offering types filter to filter your orders via specific offering(s). Select the offering(s) you want (Appointment, Area booking, Course, Membership, Package, Product, Session, Voucher, Hotel room reservation) from the drop down menu:

Once ticked, click on Apply to apply the offering(s) selected.

Offerings

When you toggle on the Offerings filter, a list of the offerings configured in your Offerings settings will be displayed:

We recommend first enabling the Offering types filter (as mentioned above) and selecting the offering type(s) you want to view. This will narrow down the list of available options when you enable the Offerings filter after, making it easier to find and select the specific offerings you need.

You can also search offerings through the search bar.

Received date

This Received date filter is used to filter your orders by the date the booking was received, so when it was created.

Once toggled on, you can choose the date(s) from the drop down calendar. Once the date(s) is selected, the orders that appear will have the received date(s) you selected so you'll be able to see all the orders that came in on a certain date(s).

Added by user

The Added by user filter is used to filter orders by the user who added them.

By selecting the user, only the orders added by that specific user will appear in the list.

Sales channel

You can also filter your orders by selecting the Sales channel filter. To do this choose a sales channel from the drop down menu. Sales channels are where the booking came from, this can be 'website', 'email', 'direct' etc.

For example, if you were trying to find a booking that you took over the phone today, you could set the 'Received date' and then select the sales channel 'Phone'. The results will then show all orders that have been taken today and has the sales channel 'Phone' attached to the order.

Membership orders

If you want to be able to track your membership orders you can toggle on the Membership orders filter to easily see results for membership orders only.


Once toggled on, you will be able to see the membership order that have come through.

Toggle on both 'Membership orders' and 'Outstanding balances' to see a list of all membership orders with outstanding balances so you can take the appropriate action.

Outstanding balances

If you want to see all orders (bookings and memberships) that have an outstanding balance. Toggle on the Outstanding balances, this will bring up all orders that have not yet fully paid.


You could use this tool alongside the 'Item date' filter. For example. you could set the date to the next day and toggle on the 'Outstanding balances' so you can check any bookings for tomorrow that haven't paid in full yet and get in contact with the guests accordingly. Helping you to keep track of your orders and take any actions that are required.

You can remove any applied filter by clicking the cross (×) next to the filter.
