If you need to change a recipe, first check whether it has been used on production orders. You can see this, for example, in the Production & Yield report under Production > Production & Yield. Use the Recipe filter on the left to search for the recipe, and see whether the report shows any results.
If the recipe has been used, make a copy of it as a new version.
If the recipe has not been used, you can edit it directly without any consequences.
Do not edit a recipe directly if it has been used on production orders. The change affects production reports, organic accounting and other balance reports for previous productions, and it can affect the cost price calculation. Create a new version of the recipe instead.
Purpose of recipe versioning
Changes to a recipe do not change production orders retroactively, but they affect the results in your production reports, organic accounting and other balance reports, and they can affect the cost price calculation.
This is because tracezilla compares each production order with the recipe that is linked to the produced SKU. If you change an existing recipe, you change the basis for the comparison, and the reports show deviations that never actually occurred.
Therefore, create a copy of the recipe and link the new version to the SKU. tracezilla can then distinguish between the recipe used before the change and the one used after it, and compares each order with the recipe that was actually used. This way you avoid false deviations.
Create a new version of a recipe
Select Production in the top menu.
Click Recipes.
Search for the recipe you want to make a new version of. Use the filters on the left.
Click the blue action button next to the recipe
Select Copy.
Give the new recipe a unique Name and a unique reference code. We recommend adding the validity date to the name and a version number to the reference code. This gives you an overview of the versions over time.
Make the desired changes in the new recipe. Read how to add end products and ingredients in the guide Recipes.
Click the end product under One Recipe Unit Produces to open the Update End Product dialog.
Tick Auto-Create and -Adjust Recipe on the Basic Settings tab to link the new recipe to the SKU. tracezilla turns off the automatic link on the old recipe at the same time.
Click Save.
You should update the old recipe to be inactive, and you may consider noting the date of inactivation in the recipe name or in the description.
In the overview you can easily search for previous recipe versions. You can also hide all inactive recipes using the filter to the left of the overview Active: yes, which you can save as the default view.
Plan a new recipe version for a later date
If you do not need to change the recipe now, but know that you want to switch to a new version of the recipe on a specific date, you can prepare the new version now.
Do not tick Auto-Create and -Adjust Recipe on the new recipe yet. Do this on the day the new recipe takes effect. Otherwise, the new recipe is added to production orders straight away.
Copy the old recipe and make your changes in the copy. You copy the recipe with the blue action button next to the recipe under Production > [[VERIFY EN-3]]. Follow steps 1–7 in the section Create a new version of a recipe in this guide.
Open the old recipe.
Click Edit button on the recipe.
Click the Advanced tab in the recipe's edit dialog.
Select the new recipe in the Recipe replaced by field.
In the Replaced on productions with availability date from field, enter the date from which the new recipe applies.
Click Save.
When tracezilla calculates the forecast, it takes into account that the recipe changes from this date and uses the raw materials in the new recipe.
On the day the new recipe takes effect, link it to the SKU and mark the old recipe as inactive. Follow steps 8–11 in the section Create a new version of a recipe.
