Attach a metric to a recurring task

Learn the different ways to associate a metric with a recurring task, whether the metric already exists in your configuration or still needs to be created.

A recurring task is an action to be carried out according to a set frequency (monthly, quarterly, annual...). To objectively track its completion, you can associate one or more metrics with it: these are numeric values attached to a perimeter, which feed into an indicator (a formula combining one or more metrics), itself attached to a measure - i.e., the process your recurring task is meant to control.

This article covers the different ways to associate a metric with a recurring task, depending on whether the metric already exists in your configuration or still needs to be created.

Why some metrics are suggested automatically

A recurring task can only suggest metrics whose indicator is already associated with the measure it controls. In other words, for a metric to appear in the "Metrics" tab of a recurring task, the recurring task must have a measure associated, and the corresponding indicator must be associated with that measure.

If you have no metrics showing up in your suggestions, you therefore first need to check if the recurring task has a linked measure. You'll see this in the recurring task detail panel > Parameters tab.

💡 If no indicator is yet associated with the measure, the recurring task's "Metrics" tab still won't suggest any metric. This isn't a bug: you'll need to either associate an existing indicator with the measure, or create a new one. Both methods are detailed below.

Associate a suggested metric with a recurring task

Go to the "Recurring Tasks" tab, open the relevant recurring task, then go to its "Metrics" tab. The "Metrics to associate" selector displays the available metrics: these are the ones whose indicators are already attached to the measure controlled by the recurring task. Select the ones you want to track.

⚠️ If the periodicity of a suggested metric doesn't match that of the recurring task (for example, a monthly metric on a quarterly recurring task), it cannot be collected through this recurring task. It must then be entered directly from the metrics dashboard, independently of the recurring task.

Associate an indicator to a measure

From the security base

For an indicator to appear among the metrics available for selection on a recurring task, the recurring task and the indicator must both be instantiated on the same measure, in your perimeter's security base.

If the indicator you want to use is already linked to the measure in the catalog but not yet instantiated on your perimeter, you won't find it in your recurring task's "Metrics" tab: it must first be instantiated from the security base, on the same measure as the recurring task.

Click on an implemented measure and Add Control to add the indicator to the measure. Then go back to your recurring task > Metrics tab, to attach the metric to your recurring task.

From the Dashboards module

If the indicator is not yet linked to the measure, go to Dashboards > Indicator, then to the "Measures" tab to select the relevant measure.

💡 If the indicator you're looking for is private (you created it, and it wasn't part of the Tenacy catalog), check the "See all" option to make it appear in the list.

Once the indicator is linked to the measure and instantiated on the same perimeter as the recurring task, the metrics that feed into it become available in the recurring task's "Metrics" tab, provided their periodicity matches that of the recurring task.

Attach a new metric to a recurring task

Create a metric that doesn't yet exist in the catalog

If no catalog metric matches your need, you can create a new one from Dashboards, "Metrics" tab, "Add a metric" button.

Fill in the following fields:

  • Metric name: the label displayed in dashboards and recurring tasks

  • Identifier: optional, the solution generates one automatically if left blank

  • Periodicity: the metric's collection frequency (monthly, quarterly...)

  • Grouping / Perimeter: associates the metric with the relevant grouping(s) or perimeter

🚫 Once a history of values exists for a metric, its periodicity can no longer be changed.

💡 If a perimeter needs to collect the metric on behalf of another perimeter, go to the metric's "Assignments and delegations" tab to choose the collecting perimeter, as well as the user or user group who will collect it.

Create an indicator fed by this metric

An indicator combines one or more metrics through a calculation formula. There are two types of indicators, which are important to distinguish:

  • 📈 Performance indicator: its calculated value is between 0 and 1 (0 to 100%), with 1 representing the ideal value. It has a target to reach and a display scale, and contributes to the calculation of measures' efficiency and performance.

  • 🔟 Activity indicator: its value is not bounded. A target can be set for display purposes, but with no associated performance scale. These indicators do not contribute to the calculation of measures' performance.

To create the indicator, fill in:

  • Indicator name

  • Identifier: optional, automatically generated if left blank

  • Periodicity

  • Type: Performance or Activity

  • Indicator scale and Target value: particularly for performance indicators

  • Grouping / Perimeter

  • Formula: combines metric values using mathematical and precedence operators (parentheses, addition, subtraction, multiplication, division)

💡 To find a metric more easily while entering the formula, type "!" followed by a search term. Two automatic variables also simplify writing certain formulas: __NBDAYS is replaced by the number of days in the calculated period (useful for daily averages), and __NBMETRICS by the number of metrics present in the formula (useful for an average, for example (ME01 + ME02 + ME03) / __NBMETRICS).

Link the indicator to the measure and to the recurring task

Once the indicator is created, associate it with the measure controlled by your recurring task from Dashboards > Indicator > Measures tab.

Then go to the "Recurring Tasks" module, open the relevant recurring task, and in its "Metrics" tab, associate the metric that feeds this new indicator.

Verify the setup with a test

To verify that the setup works as intended, run a test by completing a recurring task to which you've associated a metric.

Go to "Recurring Tasks", select the register where your recurring task is located, then open the completion form. Set the recurring task's status to "Done", then save: a pop-up opens to enter the metrics associated with the recurring task. You can add a comment there if needed.

To edit or delete an already entered value, click on the relevant completion date, then on "Save": the pop-up reappears and you can edit or delete the entered values.


Frequently asked questions

Why aren't any metrics suggested in my recurring task's "Metrics" tab?
Because no indicator is yet associated with the measure controlled by this recurring task. Associate an existing indicator with the measure from the security base, or create a new one.

What happens if my metric's periodicity doesn't match my recurring task's?
Collection through the recurring task becomes impossible. The metric must then be entered directly from the metrics dashboard.

Can I change a metric's periodicity after it's been created?
No, once a history of values exists for the metric, its periodicity becomes permanent.

What's the difference between a performance indicator and an activity indicator?
A performance indicator is bounded between 0 and 1 and contributes to the calculation of measures' performance. An activity indicator is not bounded and has no impact on that calculation, even though it can display a target.
