Setting up QR Ordering & Takeaway

This feature in Tebi allows you to use QR codes for table ordering and/or takeaway orders.

There are three main features to Tebi QR Ordering, each can be used on its own or together:

  1. QR Menu — shows which products you have available, including pricing, descriptions, images, and categories.

  2. Table Ordering — goes one step further and lets your customers order without the need for a staff member to walk by and take their order.

  3. Takeaway Ordering — works similar to Table Ordering but does not link orders to a particular table or area. Takeaway is designed for pickup orders only.

Note: Table Ordering and Takeaway share the same menu, but you can make a distinction between areas in the menu's sections so that guests see different products.


Before you start

QR Ordering requires a few things to be in place before you begin:

  • Online Payments must be enabled. Go to Settings > Payments and turn on the Online Payments toggle. Without this, customers cannot pay for QR orders.

  • Opening Hours must be configured. These define when guests can order online. Go to Settings > Opening Hours to set them up. See the Opening Hours for QR Ordering section below for more detail.

  • Profit center — you can only offer QR Ordering for one profit center within your Tebi Ledger. You select this profit center during setup. If you operate multiple locations and want to keep financials separate, each location should use its own Ledger with its own QR Ordering setup.


How to set it up

Go to QR Ordering > Setup in the Tebi Back Office.

Enable QR Ordering products

Enable the QR Ordering products you would like to use:

  • QR Menu for the digital menu

  • QR Ordering for table ordering and/or takeaway

Then select the profit center where ordering is handled.


Appearance

  • Select a Theme color for the header and button highlights.

  • To add or adjust a logo at the top of your QR Menu, go to the Tebi App > Settings > Printing > Upload business logo.

These are the only appearance options available. Custom fonts, button labels, custom header text below the logo, and hiding the Tebi branding are not supported at this time.


Payment setup

Payment settings for QR Ordering are configured under QR Ordering & Takeaway > Settings.

Payment before or after service

Choose whether your customers pay before or after service. This setting can differ per area on your floor plan — for example, you might require payment before service for the terrace but allow payment after service for indoor tables. You configure this per area under the Settings tab in QR Ordering & Takeaway.

What customers need to fill in

The information customers are asked to provide depends on the payment method:

  • Payment before service — name and email address are mandatory. The email address is required because the payment receipt is sent by email. Customers also have the option to add notes (for example allergies).

  • Payment after service — customers only need to fill in their name and have the option of adding a note.

Tipping

Enable tipping to ask guests for a tip when they place a QR order. You can find this toggle in the QR Ordering setup.


Preparation statuses and notifications

If customers need to pick up their orders rather than having them delivered to their table by your staff:

  • Enable Show preparation status so customers can follow when their order is being prepared.

  • Enable Email guest for pickup if you want Tebi to automatically email the customer when their order is ready.


Opening Hours

Opening Hours define when guests can order online. All QR ordering modes — QR Menu, Table Ordering, and Takeaway — share one set of Opening Hours.

How to set up Opening Hours

  1. Go to Settings > Opening Hours in the Back Office.

  2. Set the days and times when online ordering should be available.

  3. You can configure different hours for each day of the week — for example, shorter hours on Sundays or closed on Mondays.

Opening Hours must be configured before you can enable pickup times for Takeaway orders.

Pre-orders and advance ordering

If you have enabled pickup times for Takeaway (see Setting up QR Takeaway), customers can place orders in advance — even outside of your current Opening Hours — as long as the selected pickup time falls within your Opening Hours. For example, a customer could place an order at 9 PM for pickup at noon the next day.

How far ahead a guest can order depends on the advance ordering setting, which you can set from now up to 7 days in advance.

Opening Hours and Reservations

The Opening Hours for QR Ordering and the opening hours for Reservations are two independent settings. Changing one does not affect the other. They may appear near each other in the settings, but they operate separately.


Turn off ordering

Disabling QR Ordering only affects the online ordering experience. Your POS and all in-restaurant operations continue to work as normal.

Note: Product descriptions remain visible on the QR menu even when ordering is disabled. This makes the QR menu useful for displaying your full menu — including allergen information and item details — without enabling ordering.

  • To disable from the Back Office: go to QR Ordering > Setup and disable the menu and/or ordering.

  • To disable from the Tebi App: go to Settings > QR Ordering and toggle off Allow guest to order from the online menu.

Any customers who are in the process of ordering will see a message that ordering is not available when scanning the QR codes or following the Takeaway link.
