Tandem Secretary

Tandem Secretary makes it easy for clinicians and secretaries to collaborate. Clinicians can send their notes, documents and tasks directly after the patient encounter, and secretaries can view, manage, and complete them in one shared workspace.

For clinicians:

Sending a task to secretary

Whenever you want to share a note or documents to secretaries at the clinic, simply press “Send to Secretary” from the patient encounter. From here you can:

  • 1. Set priority. Choose between Normal (default), High, or Urgent, depending on how quickly the task should be handled by secretary.

  • 2. Select what to include. By default, all medical documentation created in the encounter is included in the task, but you can easily click on each document to not include them in the task.

  • 3. Add a comment to the secretary with extra details or instructions. This could for example be information about which patient the encounter was with, or instructions of what do to with the note or documents.

See your sent tasks

Once sent, you can always keep track of what you've sent to secretary by navigating to "Sent" in the left hand menu.


Under the Active tab, you'll see tasks that are still waiting to be handled by a secretary.

Under the Done tab, you'll see tasks that have been marked as Done by a secretary.

You can also open each task and check the Activity section to see extra information of who has viewed the task, when it was viewed and who marked it done and when.

For secretaries:

Task list view

Every user with a Secretary license at the clinic has access to the task list view.

Here you can see all incoming tasks. You can also enable access to the Task list view for users with other license types by enabling the "Tandem secretary" feature individually for the user in their user profile in "My clinic".

Under Active, you’ll see tasks that are still yet to being handled.

Under Done, you’ll see tasks that have been marked as done.

Task view

When you open a task, you’ll see everything the clinician sent — notes, documents, and any comments they included. Here you can:

  • 1. Switch between different documents using the tabs at the top.

  • 2. View comment from the clinician who sent the task.

  • 3. Add your own personal note to keep track of partial progress (for example, if you’ve completed one part but still have more to do).

  • 4. View details about the encounter and the sender.

  • 5. View activity to see extra information of who has viewed the task, when it was viewed and who marked it done and when.

  • 6. Copy the content of the note or document you are currently viewing.

  • 7. When finished, press “Mark as done” — the task will then move to the Done tab.

✅ Activate Tandem Secretary

To enable Tandem Secretary for your clinic, you’ll need admin rights.

Here's how to activate:

  1. Go to My Clinic.

  2. Click the (⋯) button next to the clinic name.

  3. A modal will appear where you can select activate Tandem secretary for the clinic.

Once activated, clinicians in your clinic can start sending tasks to secretary right away.

Secretaries

To give a secretary at your clinic access to view and manage tasks in Tandem you add them as a new user at "My clinic" and select the Secretary license during the user creation process.

Clinicians

All users with a Clinician license automatically gain access to the Send to Secretary button once the feature is activated.

Other users

You can also enable access to the Task list view for users with other license types (for example a user with an Administrator license) by enabling the "Tandem secretary" feature individually for the user in their user profile in "My clinic".
