Connect your calendar to softgarden with Smart Calendar, check the availability of your colleagues and create calendar invitations directly from the system.

An initial setup is required for the calendar integration. You can find details here: Smart Calendar - Connect your calendar

Once you have completed the setup, a new tab will appear in the interview planning dialog.

If this tab does not appear, please check that you have connected your calendar. Also make sure that Smart Calendar is enabled for your system.

To schedule an interview with Smart Calendar, please open the corresponding tab in the interview planning dialog.

Add more participants from your team and define the location and duration.
Then select an available appointment (highlighted in blue) from the calendar view.

The availability here depends on your availability rules and your calendar on a live basis. If you have added further participants who have also connected your calendar, the availability results from the combination of your rules and real-time appointments.

To create a video interview, simply select one of the connected providers. You can add more providers via your profile. You can find more information here: Smart Calendar - Connect Video Provider

Then you send an invitation e-mail to the candidate as usual. Your usual templates for the interview appointment are of course available. We also offer dedicated templates for video interviews which contain the [smart-calendar-video-link] makro for the video interview link.

When you send the interview invitation, a calendar entry is created in your calendar. All selected participants are added to this event as participants and receive an invitation from your calendar system. In case of a video interview, the dial-in information is added automatically to your calendar.

The applicant receives a calendar invitation with the invitation mail, which can be processed by supported e-mail programs.

The feedback of the other participants as well as the applicant is always displayed in softgarden. The usual status actions in the context of interview planning are still available.

If you cancel the appointment from the softgarden system, the appointment will be deleted in your calendar. The involved participants will be informed by your calendar system about the cancellation.

The applicant can be informed about the cancellation by mail if desired. With the cancellation the applicant also receives a deletion request for the calendar entry.

With Smart Calendar you can offer your candidates several interview proposals. This makes coordination easier and saves you having to go back and forth in communication. You can find more information here: Propose multiple dates

For the calendar integration in softgarden we use our partner Cronofy. Only the servers of Cronofy in Germany are used.
