Searching for users

You may need to search for user accounts to do various things like:

  • Assigning content

  • Updating assignments

  • Updating user attributes

To search for users go to Management console and click User management. You can use a Basic Search or an Advanced Search to find the user accounts that you are looking for in your Search Results.

Basic Search

Search for users with a Keyword. The value typed in this field will be searchable within key user attributes such as First name, Last name, Email, Username or Emp ID. This search is useful when you are searching for one or a small number of users.

As a default hitting search will search for that Keyword in all active user accounts and within all domains you have access to. Use the drop downs to choose whether to search all archived users only or All users or choose a domain to search in.

Clicking Search or hitting the return key on your keyboard will return your Search Results.

Advanced Search

Clicking on advanced search will allow you to use additional filters and search criteria. These options can be used in combination and alongside your basic search to find one or a group of users.

The options available to you are: ​

Attributes

  1. Click on the first User attribute...

  2. Select the attribute you wish to search against from the drop down.

  3. To see the output/values associated with that attribute, click View all...

  4. Select the relevant details (hold Ctrl or Shift to make multiple selections)

  5. Click Add selected values to filter

If you wish to use a further attribute in your rule, select the second User attribute... You can only have a total of three attribute rules in your search.

You can also insert date ranges for users, this can be based on their Date registers, Date archived and Hire date.

Audience Groups

  1. Choose between;

    1. users who are in at least one of the selected audience groups

    2. users who are not in any of the selected audience groups.

  2. Use the search filed to add a specific audience group/s

  3. Use the Start date to search between dates users were added to an audience group

Learning Paths

  1. Choose between;

    1. Users with at least one of the select learning paths assigned (you can also select to search for those with a status of Completed, Not Completed, Overdue or Failed)

    2. User without any of the selected learning paths assigned

  2. Use the search filed to add the selected learning paths.

  3. Use the category filters to search for users assigned the selected learning paths in a specific category.

Events

  1. Choose between;

    1. Users who have attended at least one of the selected events

    2. Users who are enrolled but have not attended at least one of the selected events

    3. Users who are in scope but not enrolled in at least one of the selected events

  2. Use the search filed to add selected events

  3. User the Session date to search of a session on a specific day

Roles

  1. Choose between;

    1. Users with one of the selected roles

    2. Users without any of the selected roles

  2. Use the search filed to add selected roles

Domain Access

  1. Choose between;

    1. Users with access to one or more of the selected domains

    2. Users without access to any of the selected domains

Search Results

Once you have entered in your search criteria click the Search button or hit enter to return your results. If you have multiple accounts in your result you will see results in a table and text at the bottom of the table will show you that you have X results selected.

You can;

  • scroll or use the small search field browse your results, if you want to access an individual user profile you can click their row to take you there.

  • sort your results by Firstname, Lastname, Email or username.

  • untick the boxes next to the user accounts that you wish to remove from your search results and click 'Create New Selection'. This will give selected users menu in red which will allow you to assign content for example.

  • amend or clear your search criteria to begin return more results. Now you can choose to add to your current selection or remove users from your current selection.
