How to set up a CSV import using email [Internal]

This is a guide on how you import sales data in a CSV file using email

Introduction

This guide gives you information about how to set up a client to import sales data in CSV files via email.

Prerequisites:

  • CSV file must be UTF-8 encoding (see CSV formatting guide in the integration section)

  • Enable multiple cash registers settings

  • Must have API enabled in general settings

  • The weekly balance must contain fields that match column titles in the CSV files

  • [Optional] Weekly balance fields must be split into an hourly format

  • Each shared CSV file must include data from all departments in one file.

  • Each shared CSV file must contain data for a whole week at a time ( ie. 11.03.2020 file should include data from 04.03.2021 to 10.03.2021)

NB: There can be only one configuration with one file per Samesystem client.

NB: Email senders ‘addresses are unique across SameSystem as such there can't be 2 clients receiving emails from the same email sender.

Setting up the CAMPR configuration tool

Navigate to the CAMPR import tool and select "create new" to start a new import configuration. The setup widget shown below will open:

NB: Please verify that the separators and encoding are correct. Please make sure the file is CSV with UTF-8 encoding as UTF-8 BOM or other variations are not usable. The file can have values between quotations if needed.

  • Upload/drag&drop a file that will serve as a template. This file should be similar to the files the client will share once the setup is completed.

  • Select data separators and date formats.

  • Select the type of import you would like to create: (1) Import user data, (2) Import numbers for weekly balance.

  • Select the frequency you would like to import numbers with after the first "template" Import. We only support a day-by-day import.

NB: The file will not be imported if the selected separators in the configuration don't match the separators in the file. All values in the file must have the same format.

Transfer type email or FTP

  • Add a description of the file that will be uploaded.

  • Click Save

Mapping the CAMPR configuration to the weekly balance

Now the CAMPR configuration template has been saved and should be visible in the CAMPR menu. The next step is to map your import configuration to the weekly balance. Follow these steps to do so:

  • Click the "Setup" option in the CAMPR configuration you just made.

  • Select the right template based on the column separator and the filed types your uploaded file has. If your file has a header then choose a template with a header or otherwise choose a template with a comma separator.

  • Map the columns in the file with the fields in the Weekly balance. Weekly balance fields must be created prior to this configuration.

NB: Ignore the settings when mapping the columns and fields as they are irrelevant.

  • Click Save and then Cancel.

  • Now you will see the configuration you made for this client again. Click edit again. "Use header" should be checked if the file includes a header.

  • Click on Save and Synchronize Client.

NB: The CAMPR Import is scheduled to run every night, but depends on the client delivering the file in the right format. If you need to trigger the import right away please reach out to your SameSystem integration contact.
