Base plan

The base plan helps you create an individual and perpetual schedule for an employee, bypassing the need of template!

It is especially useful for employees who:

  • Work part-time

  • Have alternating shifts

  • Follow a fixed recurring schedule

You can also create a base plan for full-time employees, making it possible to set up their schedule once and let it repeat automatically. This reduces the need to plan the same shifts again and again.

Unlike templates, the Base Plan is created per employee. If needed, you can also switch base plans between employees, making it easier to adjust schedules when staffing changes.


How the Base Plan works

A base plan is created for a specific number of weeks. When the final week is reached, the schedule automatically repeats from week 1.

The schedule will continue running until you decide to edit or replace the base plan.

How to access the Base Plan

  1. Go to the schedule.

  2. Click the menu next to publish

  3. Choose Base plan at the bottom.

Alternatively, you can begin editing an employee's Base plan immediately by;

  1. Hovering your mouse over the employee’s picture.

  2. Click the Schedule & Pen icon.

You will then be asked to choose the starting week for the base plan.

Creating the Base Plan

The base plan appears above the current schedule with empty days.

Here you can plan the shifts exactly as they should repeat over the selected number of weeks.


Choose under rotation:


Once the final week is completed, the schedule will repeat automatically from the beginning.

Copying a base plan

When creating the base plan, you also have the option to copy from another employee's base plan, or directly from the schedule.

Staffing overview

At the top of the base plan you will see blue numbers indicating staffing levels throughout the day.

This gives planners a quick overview of coverage, helping ensure shifts are planned according to staffing needs.

Editing an existing base plan

When editing a base plan, you will need to specify what date you wish to make changes from. Your choice can either be at the start of the current week, or otherwise specified by you.


When choosing a different date, make sure to pick one after the current set weeks and planned shifts of your current base plan are about to restart, if you don't want to impact already scheduled shifts.


Every employee can have a base plan, and you can have multiple base plans going at the same time, with different week lengths.
