During this first phase of your onboarding process, your Implementation Manager will introduce themselves by email and will request you to provide:
Floor plan files
Company and location/s information
Floor plans
In order to create your RICOH Spaces floor plan(s) within each of your locations, we need you to supply us with an image of your plans. These are often available from your Facilities Department or Building Management Company (if you are located in a shared office building).
Making sure you meet these requirements helps us to ensure that your floor plans are produced correctly:
Up to date | Clear and legible | Preferably in PDG, JPG or DWG format |
Show desk locations and preferred numbers
(if you do not provide desk numbers, we will allocate them) | Show bookable rooms with their names
(If you do not provide room names, we will number them "Meeting Room 1", "Meeting Room 2", etc) | Show parking space locations and preferred numbers

Company Information & Contacts
In our phase 0 email, we will ask you to complete a spreadsheet providing all the information required about your company and your office locations to be included in RICOH Spaces. It will also include a field for you to specify the users you want assigned to the global administrator role. This role enables specific users to access the organisation settings area within RICOH Spaces. Learn more about this role here.
