Screening Questions vs. Profile Fields

How Screening Questions relate to Profile Fields, including Registration Form fields, hidden fields, PII designation, and Profile Field visibility in Studies, transcripts, and exports.

The screening questions you can ask before people join a Study are actually Profile Fields. They are simply fields deemed to be In Study.

Note: Access to custom Profile Fields and participant data within a Study depends on the administrator role and applicable privacy settings. Analysts can access this information, while Moderator access to Profile Fields containing PII may be restricted through the Study’s privacy settings. Clients can be given access to Profile Fields through Client Privacy Settings, with separate controls for fields containing PII and those that do not.

Screening questions are only one application of Profile Fields as you can also add them to the Registration Form (i.e. where they register their account and set their password) which comprises all Studies, and / or allow them to be edited from a participant's Account Settings page.

It is also possible to upload profile metadata via Bulk Import and keep the data purely for internal use. These fields are categorized as Hidden when browsing the Profile Fields in Site Administration.

Note: If a Profile Field is housing data that constitutes personally identifiable information (PII) - this is any data that could potentially identify a specific individual - there is a checkbox option to identify the field as such. By selecting the May contain personal identifiable information (PII) option, the system will include this field as part of the personal data removal when actioned.

By default, Profile Fields that contain values can appear on participant profiles within a Study and in Study transcripts and exports. You can use Study Settings > Profile Fields to limit which Profile Fields appear in a specific Study and its transcripts and exports. Client Privacy Settings control which Profile Fields Clients can view within the Study; however, those visibility settings do not control the information included in transcripts and exports. Only provide Clients with permission to generate transcripts and exports if you are comfortable with them accessing the Profile Field information included in those outputs.
