Informing patients about the use of OurMind (AI)

You will use OurMind during the (patient) consultation to save time and to be able to listen more attentively. But how do you explain this to your patient in a clear and reassuring way?

What can you say in the consultation room?

A short, clear explanation works best. For example:

“During this conversation, I use an AI tool that helps me automatically create a summary of what we discuss. This allows me to keep my full attention on you and reduces the need for typing.”

Or:

“I work with a speech recognition tool that listens to the conversation and creates a draft report. I always review that report myself before it is added to your medical record.”

These explanations emphasize that:

  • The technology is supportive, not a replacement.

  • The professional remains responsible for the content.

  • The patient remains central to the conversation.

Example materials

In addition to—or instead of—informing the patient at the start of the consultation, you may also choose to inform patients in the waiting room per clinic or practice. This could be done, for example, via text on a screen or a flyer placed in a visible location.

During your appointment, your healthcare provider may use OurMind, a secure AI-supported tool that helps create accurate documentation of the consultation.

What does this mean for you?

  • Your healthcare provider may (partially) record the conversation to create an accurate transcription.

  • The recording is deleted immediately after processing.

  • The transcription and summary are automatically deleted within 72 hours.

  • All data is processed in accordance with applicable privacy and security standards (ISO 27001 & NEN 7510).

  • Your healthcare provider can give you more attention during the conversation.

  • It ensures accurate, complete, and secure documentation.

  • It helps capture information more effectively for your follow-up care.

Tips for communication

  • Use clear, accessible language: avoid technical terms such as “algorithm” or “machine learning”.

  • Emphasize that the AI does not make decisions but provides support.

  • Indicate that privacy is safeguarded: data is not stored outside the EHR.

  • Be open: patients appreciate transparency about new technology.
