[Integration] GoCardless

Written by Krasto Milchev

GoCardless enables your members to pay for services and memberships directly from OfficeRnD using Direct Debit. Before we dive into details, you may want to check the other payment gateway integrations we offer.

Never disconnect the payment integration if you have pending payments.

How to Set Up The Integration

  1. Create a GoCardless account at https://gocardless.com/ if you don't have one. Follow the on-screen instructions to set it up.

  2. Sign in to your account.

  3. Go to Integration Hub > All Integrations in OfficeRnD.

  4. Go to Payment Gateways and find GoCardless. Click Add.

  5. Click on the Connect button next to GoCardless in OfficeRnD and enter your GoCardless credentials.

  6. Click Configure.

    - You can enable Auto Sync to let OfficeRnD and GoCardless sync data automatically.
    - The Transaction duration value defines how many days in advance an invoice should be charged to collect the payment in time for the invoice Due Date. The default value is 0. If you change the value to match the Due Date, the transaction will close in the next 3-5 business days (the standard waiting period for direct debit).

  7. Click Done.

Note: Unlike card payments, direct debit payments have a waiting period. This waiting period is typically three to four business days (five if the mandate needs to be verified for a first or one-time payment). Settlement usually doesn't take longer than five working days.

Limitations

GoCardless limits its charges to under 5000 units by default. This means that automatic (or manual) charges on invoices for more than 5000 units (of your currency) will fail when submitted to GoCardless. You can either manually charge the invoice with multiple charges (for example, for 6000 EUR, you can submit 2 transactions of 3000 EUR each), or you can reach out to GoCardless support and ask them to increase your limit.

Which data must match to sync existing GoCardless mandates?

The sync uses only the email address to connect a GoCardless customer to OfficeRnD. The customer's email address in GoCardless must match the member's or company's email address in OfficeRnD. Other data, such as the name or the postal address, does not need to match. Capital letters in the email address do not affect the match.

A Direct Debit mandate is an agreement between the member or the company and GoCardless. One mandate works for charges from OfficeRnD and for charges that you make directly in GoCardless. For this reason, a member or company with a mandate in GoCardless doesn't need a new mandate. Run a sync instead.

When the sync finds a matching email address, OfficeRnD adds the mandate to that profile. If the email address belongs to a company, the mandate goes to the company profile. If the email address belongs to a member, the mandate goes to the member profile. The sync skips mandates that failed, expired, or were canceled in GoCardless.

To get existing mandates into OfficeRnD:

  1. Ensure that each member or company in OfficeRnD has the same email address as its customer in GoCardless. The sync cannot connect a customer with a different email address.

  2. Go to Integration Hub > All Integrations.

  3. Find GoCardless and click Sync. OfficeRnD retrieves mandates for all customers with a matching email address.

If Auto Sync is on, OfficeRnD also syncs automatically, so you do not need to click Sync each time.

If a member or a company has no mandate in GoCardless, send a mandate setup request from OfficeRnD. The member or the company then sets up the mandate on a GoCardless page.

What changes the result of a sync

  • An email address changes in GoCardless. The next sync no longer finds a match, and OfficeRnD removes the payment details. If you change the email address back, the next sync adds the same payment details again, provided the mandate still exists in GoCardless.

  • A mandate is canceled in GoCardless. The next sync removes the payment details from OfficeRnD.

  • Several GoCardless customers share 1 email address. If the member or the company already has payment details, the sync adds no other mandate. Use 1 GoCardless customer per email address so the sync connects the correct mandate.

Important: If you remove the payment details in OfficeRnD, the mandate stays active in GoCardless. To stop the mandate, cancel it in GoCardless.
