Written by Yasen Marinov

Members can book meetings through the Member Portal (from the Dashboard or the Meeting Rooms page). They can book meeting rooms, invite teammates and visitors, and manage recurring bookings.

After the steps in this article, you can create and manage your meeting room bookings.

Select a meeting room

To book a Meeting Room from the Dashboard, click New Booking in the My Bookings section:

This takes you to the Meeting Rooms page, where you will see all Meeting Rooms available at your location.

Click the Filter button , and you can filter the list of Meeting Rooms by the following criteria:

  • Location

  • Capacity

  • Amenities

  • Floor

Book a slot for a meeting room

Pick a suitable Meeting Room and click on the hour lines. You can also click and drag to select the time duration of the meeting:

This opens a simplified version of the Booking Setup:

Here, you can:

  • Add the booking title.

  • Choose the time and date of the booking.

  • Order extras.

When you're finished, click on Book to create the booking, or click More Options for additional booking options. They are explained below.

Note: Option availability depends on your space's set-up and booking policy.

Set up your booking

To configure the settings and setup of your booking:

  1. Select your meeting duration on the Meeting Rooms page.

  2. Click More Options in the dialog.

Then, you can configure the following settings:

Recurrent meetings

If you host regular meetings (for example, each week on Tuesdays and Thursdays), you can book recurring meetings (if your co-working space allows it) instead of creating a new booking each time.

  1. Click Recurrence and select On.

  2. Set up your booking:

    • Adjust the frequency at which the meeting will be recurring by choosing Repeat every (1st, 2nd, 3rd...) Day, Week, or Month from the drop-down menu.

    • Select the day(s) on which the meeting will occur in the Repeat on row.

    • Finally, you can select when the recurring bookings will stop recurring. You can choose between Never, a number of occurrences, and a specific date.

Invite guests and visitors

You can invite guests and visitors in the full booking setup. A guest is a teammate from your company. A visitor is a person from outside your company.

  1. Click Attendees to expand the section.

  2. To invite a teammate, select the teammate in the Invite guests to this booking field.

  3. To invite a visitor, click Add New Visitor. Enter the visitor's name and email address. The visitor gets the invitation at this email address.

Each attendee gets an invitation email with the booking details. If the meeting room is mapped in the door access integration of your workspace, guests and visitors also get door access to the meeting room for the time of the booking. If the meeting room isn't mapped, guests and visitors won't get door access to the meeting room.

Members can also invite guests and visitors to event spaces, studios, and other bookable spaces. Invite guests and visitors to any bookable space →

Add a description

Click Description and enter a description for the meeting in the text field.

Add extras

Click Extras and click next to any available extras you want to add. Its price will be added to the booking total.

View summary

Review the Booking Summary and make adjustments (if needed). When you're finished, click Book at the bottom of the page.

In the Booking Summary section, you can see the total amount due for the booking. A booking for a future month is an exception, and the next section covers it. The system will automatically use available credits. If the booking costs more credits than you have available, it will use all available credits and add the remaining amount due as cash.

1 credit = 1 hour booking duration.

For example, let's say you book a meeting room with an hourly rate of $50.00. If you want to book the room for 2 hours but you only have one available credit, you will pay 1 credit + $50.00 for the booking.

Book a meeting in a future month

You can book a meeting room for a month that has not started yet. This applies when your company receives credits every month. The Booking Summary then shows the badge 'Not Accounted' next to Total. No amount is shown. You are not asked to pay when you create the booking. The badge also shows the date until which the booking keeps the 'Not Accounted' status.

Your booking is accounted for on the 1st of the month when the meeting takes place. On that date, the credits for that month become available. OfficeRnD then applies them to your booking. If your credits don't cover the whole booking, you pay the rest at the room's hourly rate.

Review, edit, or cancel your booking

You can view, edit, and cancel the booking you created by going to Account > Bookings on the Member Portal. All the information you entered in the booking setup stage is available for review:

You can also:

  • Order catering - click here to learn more.

  • Edit the booking options - click to open the Booking Setup window.

  • Cancel the booking - Click , then click and confirm the cancellation (fees may apply):
