When 1 person has 2 Member profiles, their bookings, invoices, and credits are split across 2 records. A duplicate profile can also stop the member from logging in with a new password. A merge moves the records from the duplicate profile into the profile that you keep.
You choose 1 Member to keep, called the target Member. The other Member, called the source Member, gives its records to the target Member.
Before you begin
Prepare 3 things before you merge 2 Members.
You must have the Owner role, or a custom role with the Merge permission for Members under
Operations. The Manager role does not include this permission. Learn which admin roles include the Merge permission →Decide which Member is the target Member. The target Member keeps its own login and password. After the merge, the member must use the target Member's login.
If you also plan to merge the companies of these Members, merge the Members first. This order keeps the member data consistent when you merge the companies.
What moves to the target Member
After you choose the target Member, check what the merge changes. The source Member gives these records to the target Member:
Memberships and fees
Billing documents: invoices, credit notes, and payments
Bookings
Booking credits and day passes
Opportunities and attachments
The target Member keeps its own details. The target Member keeps its own company. If the 2 Members belong to different companies, the source Member's company is not kept. The target Member also keeps its own login and password. The login and password of the source Member are not kept.
After the merge, the source Member is archived. You cannot undo a merge.
You cannot merge Members of the system team.
Merge two Members
After you know which records move, merge the source Member into the target Member. Start the merge from the target Member's profile.
Go to
Operations > Members to open the Member list.Click the target Member to open its profile.
Click the cogwheel icon and select Merge. The Merge dialog opens.
In the Merge dialog, click the Member drop-down menu and select the source Member. The source Member is the profile that gives its records to the target Member.
Click Merge. Flex moves the source Member's records to the target Member.
Warning: Make sure that you selected the correct source Member before you click Merge. You cannot undo a merge.
Tell the member which login to use
The records are now in 1 profile, but the member might still use the old login. Only the target Member's login and password work after the merge.
Send the member the target member's email address. If the member doesn't know the target Member's password, they can reset it from the Member Portal login page.
Best practices
Use these tips to avoid a wrong merge.
If you are not sure which Member is the duplicate, compare the bookings and invoices of both Members first. Keep the Member with the login that the member uses today.
If you are not sure that 2 profiles belong to the same person, confirm with the member before you merge. You can't undo a merge of 2 different people.
If you must also merge 2 companies, merge the Members first. Then merge the companies. Merge two companies and their records →
