[Flex] Admin Portal User Permissions

Understand the different admin user roles in OfficeRnD and how each permission level controls access to workspace management features.

OfficeRnD Flex provides role-based access control for admin users, allowing you to manage permissions according to responsibility. Roles like Viewer, Reception, Center Manager, and Owner each offer varying levels of access to modules such as billing, contracts, space management, and reporting. You can assign default roles or create custom roles tailored to your organization's structure.

By the end of the article, you will understand what each default role can do, how to assign or change roles, and how to manage access by configuring custom permissions if needed.


Manage Admin roles

Users have different permissions depending on their role in OfficeRnD Flex.

  1. To assign a role, go to Settings > Account Details > Admin Users.

  2. To change the user's role, click the cogwheel next to the user and select Edit.

  3. You can create custom roles with granular control over permissions.

User permission levels

When adding a teammate or modifying their role, you can restrict access to various modules according to each permission level. The following table illustrates the different user permission levels.

Note: Only the "Owner" permission can detach the invoices.

What are the default admin roles available?

The default roles are:

  • Viewer: Read-only access across modules.

  • Reception: Limited access focused on check-ins, calendars, and collaboration tools.

  • Center Manager: Full access to day-to-day operations (except global settings).

  • Owner: Full permissions across the entire platform, including billing settings and account management.

Can I create custom admin roles?

Yes. You can define custom roles with specific access to modules and actions. Learn more about custom roles here.

What actions are restricted to the Owner role only?

Only the Owner role can:

  • Manage billing settings

  • Edit, delete, or void invoices

  • Manage account settings

  • Detach invoices

What access does the Reception role have?

Reception users can manage check-ins, view and manage bookings in the calendar, handle tickets and deliveries, and assist with general front-desk tasks.

Which modules are view-only for all roles?

The Dashboard and Data Hub modules are view-only across all default roles, including Owner.

How are admin users matched to permission levels?

Permissions are granted based on the role assigned in the Admin Users section. Custom roles allow for more granular control over access.

What happens if I delete a custom role?

Deleting a custom role removes it from the list of assignable roles, but users previously assigned to it will retain their access until reassigned.
