[Overview] Opportunities

Opportunities in OfficeRnD Flex help you track and manage potential deals and qualified leads for your co-working space. They enable you to forecast future sales, monitor client communications, and gain clearer insight into your sales pipeline.

An Opportunity in OfficeRnD represents either a pending or past deal with a qualified lead. That is someone you've contacted, whose needs you've assessed, and who remains active in your sales pipeline. These leads are prospects you anticipate will successfully convert into clients.

This article guides you on creating and managing Opportunities, customizing statuses, and adding supplementary information to support your sales processes effectively.


Create Opportunities

To create an Opportunity:

  1. Go to Community > Opportunities.

  2. Click Add Opportunity. The following dialog opens:


  3. In the Add Opportunity dialog, provide the following information:

    • Company Name and Contact Member: Specify the company and contact person. You can create a new Contact directly in the same dialogue by selecting Add New under the dropdown menu.

      • When you create a new Contact, a new user profile with the status Lead is automatically added.

    • Name and Status:

      • These fields, along with Contact, are mandatory.

      • For Status, choose one of the default values:

        • 0% (Lost)

        • 10% (Open)

        • 100% (Won)

      • You can manually adjust the Probability later.

      • You can create additional statuses for your Opportunities.

    • Deal Size and Company Size:

      • Deal Size represents the revenue expected from the Opportunity.

      • Company Size refers to the anticipated number of new members added.

    • Probability and Date:

      • Based on your judgment, enter the probability of closing the deal and an expected closing date.

    • Resource (Optional):

      • Specify the resource linked to the Opportunity. This helps you view Opportunities associated with a specific location on the Floor Plan. Open the floor plan and click on the zone where the resource with an Opportunity is assigned:

After an Opportunity is created

When you create an Opportunity, the following will happen:

  • The associated contact (company or member) will receive a profile in your organization with the status "Lead."

  • If the deal is won or lost, the company's status is updated to "Inactive" until fees and memberships are assigned.

  • Lost Deals:

    • The Contact profile is not automatically removed. If you want it deleted, you must do this manually.

Add additional properties to Opportunities

You can customize Opportunities by adding custom properties. Learn more about custom properties →

Here are examples of useful properties and their types:

  • Source: Create a field to enter the Opportunity's source or description. Use the "string" type for this property.

  • Notes: Add detailed notes about the Opportunity. Use the "text" type for this property.

  • Tour Date: If an Opportunity needs a tour, add this property to record the date. Use the "date" type for this property.

Add additional statuses

To add new statuses:

  1. Go to Settings > Platform > Opportunities.

  2. Click Add Status, enter a name, and define a probability (in percentages).

You can also:

  • Reorder statuses by dragging and dropping them within the list.

  • Sync Opportunities using a CRM integration, such as Capsule and HubSpot.

What is an Opportunity in OfficeRnD Flex?

An Opportunity in OfficeRnD Flex represents a potential or past deal with a person or company. It helps you track and forecast sales by showing qualified leads, communication progress, and the likelihood of closing the deal.

What happens after I create an Opportunity?

After creating an Opportunity:

  • The associated contact receives a profile with a "Lead" status.

  • If the Opportunity is won or lost, the company's status changes to "Inactive" until you assign memberships or fees.

  • Lost Opportunities do not automatically delete the contact profile. You must remove it manually if needed.

How can I integrate Opportunities with a CRM?

OfficeRnD supports CRM integrations like Capsule and HubSpot to sync your Opportunities:

  1. Go to Settings > Integrations.

  2. Activate your desired CRM integration and follow the setup instructions provided.

What do the default Opportunity statuses mean?

The default statuses are:

  • 0% (Lost): The deal was not successful.

  • 10% (Open): The deal is open, and progress is ongoing.

  • 100% (Won): The deal has been successfully completed.

You can manually adjust the Probability field to reflect your expectations.

Can I view Opportunities directly on the floor plan?

Yes, you can link an Opportunity to a specific Resource. To view it:

  1. Go to the floor plan.

  2. Click the zone where the resource with an Opportunity is located.
