➤ Product: OfficeRnD Flex
➤ Who: Admins with billing permissions
➤ Where: On the Admin Portal, under Billing > Plans
➤ Availability: All plans
Every membership and one-off fee you charge starts as a billing plan. A billing plan is a reusable price for a resource or a service. You create the billing plan once. Flex then invoices each membership or one-off fee that uses the billing plan.
A billing plan also determines what members get with the plan and who can buy it on the Member Portal.
Prerequisites
A billing plan can point to other objects in Flex. If your plan uses these objects, create them before you start:
A revenue account, if the plan must not use the default revenue account. Set up a revenue account →
One-off billing plans for the plan's setup fees. The Setup Fees field lists only one-off billing plans.
Rate discounts, if the plan reduces booking prices. Create a rate discount →
Terms and conditions, if members must accept terms for the plan. Set up terms and conditions →
Amenities under Space > Amenities, if the plan lists amenities on the Member Portal.
Resource rates and resource types, if the plan grants credits or coins for specific resources.
Custom properties for plans already, if you want to store extra data on the plan.
Also, ensure your admin role has the plan permission for each action you want to do. Create, edit, export, and delete are separate permissions.
How billing plans work
A billing plan is the price of a resource or a service. A membership connects that price to a member or a company.
Each billing plan has a billing schedule, or recurrence: 'Monthly' or 'One-off'.
A monthly plan bills a membership on a recurring basis.
A one-off plan bills a single charge. You choose the billing schedule when you create the plan.
Each billing plan also has a plan type. The plan type connects the billing plan to the resources of the same type.
The recurrence decides which tabs the Add Plan dialog shows:
Tab | Monthly plan | One-off plan | What the tab holds |
General | Yes | Yes | Plan type, name, price, deposit, and locations |
Billing | Yes | Yes | Invoice frequency, revenue account, setup fees, rate discounts, proration, and plan terms |
Credits | Yes | Yes | Booking credits and coins |
Passes | Yes | Yes | Day passes |
Extras | Yes | No | Add-ons that members can buy only with the plan |
Packs | No | Yes | Bundles of the plan at 1 pack price |
Member Apps | Yes | Yes | Who can buy the plan on the Member Portal |
Billing plans price recurring and one-time services. Resource rates price bookable resources, such as meeting rooms. Decide between a billing plan and a resource rate →
Create a billing plan
To create a new Billing Plan, follow these steps:
Open the Flex Admin Portal and go to
Billing > Plans.Click Add Plan and select One-off or Monthly.
The Add Plan dialog has six tabs: General, Billing, Credits, Passes, Extras, and Member Apps.
Important: You cannot change the billing schedule after you save the plan. To sell the same product on the other billing schedule, create a second plan.
Set the plan details on the General tab
On the General tab, you can define the Billing Plan's core attributes.
Type – The plan type indicates what you want to sell through this billing type. There are five main plan types in OfficeRnD, each serving a specific purpose. In the list, you will see one plan type for each resource type you have created.
Private office – For companies that use private offices. Memberships created with this plan will then be assignable to resources of type Private Office.
Office desk – For desks within private offices.
Hot desk – For members with no dedicated desk.
Dedicated desk – For members with specific desks. Memberships created with this plan will then be assignable to Desk resources.
Service – For extra complimentary or chargeable services such as parking spots, canteen service, lockers, or daily coffee.
Image (optional) – Upload an image for visual identification; it is visible on the Member Portal and on your Growth Hub storefront if you list the plan there. You can upload multiple images.
Name – The plan's name. It will be displayed when memberships are created or when people sign up through the portal. For example, "Office" or "Fixed desk".
Unique code – A unique identifier. It can be used in exports.
Price – The plan's price.
Deposit (applicable to monthly plans only) – An amount held when a membership on this plan is created. The amount is held as a refundable fee. You can set the deposit as either a fixed amount or a percentage of the monthly price.
Fixed Price – Select this checkbox to make the deposit a percentage of the plan's price.
Description (optional) – A field for additional plan details. The description is displayed on the Member Portal.
Locations (applicable to multi-location spaces only) – Specify the locations in which the plan is available.
You can also define the price of your offices with a single Billing Plan.
Set how the plan bills on the Billing tab
On the Billing tab, you can configure billing-related details.
Invoice every – Set the billing frequency for this plan.
Revenue Account – Leave the default one or assign a particular Revenue Account. To manage Revenue Accounts, go to
Settings > Billing > Revenue Accounts.Setup Fees – Select the fees for members buying this plan. Here, you can select only previously created 'one-off' plans.
Rate Discounts – Select any Resource Rate discounts that reduce booking prices for the plan. To manage discounts, go to
Billing > Discounts.Prorate Plan (applicable to monthly plans only) – Whether the plan should be prorated when an invoice for a partial month is issued. If you don't select the checkbox, members will be charged the full amount.
Plan Terms – Select the terms and conditions that apply to this plan.
Important: A rate discount on a billing plan applies to every member of a company with an active membership on that billing plan. The member named on the membership does not limit the rate discount.
Grant credits or coins on the Credits tab
Set to "Unlimited" or specify a limit.
Assign applicable rate(s) for credits.
Note: Changes on the Credits tab apply only to memberships you create after you save. Existing memberships keep their current credits.
Add day passes on the Passes tab
On the Passes tab, you can add Day Passes to your plan. You can add Day Passes only for specific locations or make them available in all locations. Learn more about Day Passes →
For one-off plans:
In the Period drop-down menu, set how long the day passes stay valid: 'Unlimited' or 1 to 12 months.
Turn on Grant Active Status to give members active status while they have day passes available.
Important: An older plan can contain a day pass row with a count of 0. You cannot save that plan until you set the count to 1 or more, or remove the row.
Sell plan bundles on the Packs tab
The Packs tab is only applicable for one-off plans.
Use the Packs tab to sell a 'One-off' plan in bundles at a different unit price. The Packs tab shows only on 'One-off' plans, and only if packs are active for your account.
You can create multiple packs for each billing plan. To create a new pack:
Click Add Pack.
Enter a Name for the pack. This name appears on the Member Portal and the Growth Hub storefront.
Enter the Quantity per Pack. This defines how many instances of the billing plan the pack includes.
Enter the Pack Price. This is the final price customers will pay to buy the entire pack. You can see the cost of each plan within the pack and the discount offered.
If you enter a higher price, a red warning will appear, indicating that you are creating a price markup rather than a discount.
Click Add.
Add extras on the Extras tab
The Extras tab is only applicable for recurring (monthly) plans.
Extras are available only as additions to a plan and cannot be bought otherwise. Some spaces might offer lockers or other small services as extras on their more expensive plans.
Extras are always linked to the plan's revenue account. If you should track the service under a different revenue account, don't create it as an extra.
Extras connect to the membership when invoiced and cannot be canceled individually. You must cancel the entire main membership to cancel the membership for the extra.
Extras cannot be assigned to a resource or tracked in occupancies. For example, you should likely manage a parking slot as a separate monthly plan for a custom resource type, allowing you to assign each parking membership to a specific slot.
Each extra has three fields:
Name – The name of the extra, for example, "Locker."
Price – The price of the extra, for example, "$30."
Deposit – The deposit for the extra, for example, "$15."
Store extra data on the Properties tab
Use the Properties tab to store your own fields on the plan, such as an internal product code. The Properties tab shows only if your organization has custom properties for plans. 'Monthly' plans use custom properties for plan memberships. 'One-off' plans use custom properties for plan fees.
Control Member Portal availability on the Member Apps tab
The Member Apps tab controls who can buy the plan on the Member Portal and how. Use these settings when members buy the plan themselves.
Request approval – An admin must approve each purchase. The new member must make a request that will result in the following:
A profile is created for them in the system.
A membership is created for them with the status "Not approved".
You can then approve the newly created membership.
Allow Cancellation – Allow members to request plan cancellation.
Available on sign-up and for drop-in users – Make the plan available for direct purchase on the sign-up page and for drop-in members.
Available for members – Existing members with accounts on the Member Portal can buy the plan. Choose whether only the contact person or all active company members can buy it.
Contact person – Only the company's Billing and Contact persons can see this plan.
All active company members – Any active member can purchase the plan, whether or not they are the company's Billing or Contact person.
Link – This URL links the plan to the product page. It is used on the Checkout page and in the booking dialog.
Category – Specify a category to group plans in different tabs on the Member Portal.
Amenities – Select the amenities included in the plan at no extra cost. Amenities are provided out of the box, don't require additional payment, and are therefore displayed as part of the overall plan description on the Member Portal. To add Amenities, go to Space > Amenities.
Find and export billing plans
After you save a plan, it is added to the list at
Billing > Plans. The list shows the plans for the location you selected on the Admin Portal.
Use the quick filters above the list to show one group of plans. Each quick filter shows how many plans it contains.
All: all plans that are not archived.
Monthly: monthly plans only.
One-offs: one-off plans only.
Archived Plans: archived plans only.
You can also filter by column, such as name or type. Click Reset filters to clear your column filters. The list sorts by name by default. Click the Price column header to sort by price.
The Billing Schedule column shows whether a plan is monthly or one-off. Icons show where a plan is available. Hold the pointer over an icon to see what it means. The Active column shows the number of memberships on a monthly plan. The Active column shows 'One-off' for one-off plans.
Note: The list hides archived plans by default. The filter stays in place when you click Reset filters. Find and manage archived plans →
To export the list as a CSV file, click Export, then confirm in the dialog. The CSV file uses your current filters and sort order.
Edit a billing plan
Prices and allowances change over time. Edit the plan to update what new memberships get.
Important: Changes to a plan apply only to memberships you create after you save. Existing memberships keep their current price and terms. To change the price of existing memberships, use price adjustments.
Follow these steps to edit a plan:
Go to Billing > Plans.
Open the actions menu on the plan row, then select Edit. The plan page opens.
Make your changes. The billing schedule is shown, but you cannot change it.
Click Update to apply the changes to new memberships.
You cannot edit an archived plan. On an archived plan, the action is View, and the plan page opens as read-only. To edit the plan, restore it first.
Delete a billing plan
Delete a plan only if you created it by mistake. If you no longer sell a plan, archive it instead. Archiving keeps memberships, invoices, and reports intact.
You cannot delete a plan that is linked to invoices, to a resource rate, or to the setup fees of another plan. In that case, the dialog shows what the plan is linked to, and Delete is not available. Remove the link first, or archive the plan. The dialog may also show other errors that block deletion, such as processing fees or late fees.
Warning: Deleting a plan also deletes every membership on that plan, together with its history. You cannot undo a deletion.
Follow these steps to delete a plan:
Go to Billing > Plans.
Open the actions menu on the plan row, then select Delete. You can also click Delete on the plan page.
Read the dialog to confirm you can delete the plan.
Click Delete to delete the plan and its memberships.
You cannot delete an archived plan.
Make the plan available on the Shop page on the Member Portal
To make the plan available for all members on the Member Portal:
Open the Flex Admin Portal and go to
Billing > Plans.Click the plan and open the Member Apps tab.
Select Available for members.
Select All active company members.
Use case examples
You're offering a fixed desk membership with locker access. You create a recurring plan that includes a price, defines the desk type, and adds the locker as an Extra.
You're running a promotion with Day Passes. You create a plan that grants five Day Passes and publish it through Growth Hub so that members and drop-in users can purchase it.
Best practices for using Billing Plans
Use these tips to keep your plan list accurate as your offer grows:
If you no longer sell a plan, archive it. Do not rename it with a prefix such as "ZZZ" or "Do not use".
If a plan grants coins for specific one-off plans, select Coin payments on those one-off plans first. Otherwise, the one-off plans do not show under Valid for.
If you change a plan's price, plan a price adjustment for existing memberships at the same time. Editing the plan changes the price only for new memberships.
If you sell the same product monthly and as a one-off, create 2 plans with clear names. You can't switch billing schedules on a plan.
Check the Active column in the All tab for the number of active memberships associated with recurring plans. This number is
the sum of all currently active + all pending memberships created with this plan. For one-off plans, you will see "One-off" instead of the number of active memberships.
FAQ: Billing plans
What is the difference between a monthly plan and a one-off plan?
A monthly plan creates a membership that Flex invoices on a schedule. A one-off plan creates a one-off fee that Flex invoices once. Use one-off plans for setup fees, deposits, and day pass purchases.
Which plan types can I create?
You can create plans of the 5 default plan types: 'Private office', 'Office desk', 'Hot desk', 'Dedicated desk', and 'Service'. To create a custom plan type, first create a custom resource type. Each plan type matches 1 resource type.
Can I use a billing plan to charge for meeting room bookings?
You cannot use a billing plan to charge for meeting room bookings. Meeting room bookings use a resource rate. A billing plan can still grant booking credits or rate discounts that reduce the price of those bookings.
Can I add extras to a one-off plan?
You cannot add extras to a one-off plan. The Extras tab is available only on monthly plans.
Can I sell a monthly plan in packs?
You cannot sell a monthly plan in packs. The Packs tab is available only on one-off plans.
Does a rate discount on a plan apply only to the member named on the membership?
A rate discount on a plan applies to every member of a company with an active membership on that plan. The member named on the membership does not limit the rate discount. Flex calculates each booking price from the company of the person who books. Learn which members get a rate discount →
Why does the Active column show more memberships than are active?
The Active column also counts pending memberships. The number is the sum of active and pending memberships on the plan.
Why is an office's price different from its plan's price?
An office resource's price overrides its billing plan's price. You can keep 1 private office plan and set a different price on each office.
Why can I not change a plan from monthly to one-off?
You can't change a plan's billing schedule after you save it. Create a new plan with the billing schedule you need, then archive the old plan.
Why does editing a plan not change the price for my current members?
Editing a plan changes the terms for new memberships only. Existing memberships keep their current terms, so use price adjustments to change their price.
Why can't I save an older plan that I didn't change?
An older plan cannot be saved if it contains a day pass row with a count of 0. Open the Passes tab, then set the count to 1 or more, or remove the row.
Why is a one-off plan missing from the Valid for list on the Credits tab?
A one-off plan shows under Valid for only if Coin payments is selected on that plan. Open the one-off plan, select Coin payments, then save it.
Why is Delete not available for a plan?
You can't delete a plan while it is linked to invoices, a resource rate, or another plan's setup fees. Remove the link first, or archive the plan to hide it from new sales.
Where are the plans I archived?
Archived plans are hidden from the plan list by default. Select the 'Archived Plans' quick filter to see them.
