Set your business hours

Match bookings and pricing to the space's availability.

Without defined business hours, the Member Portal calendar shows every hour of the day, and resource rates have no fixed point from which to calculate a half-day booking. Business hours fix both: they set when members can book and give resource rates and day passes a shared definition of half a day.

Business hours live under Settings, with per-location overrides under Space. They don't restrict access to Flex itself, only when bookings are allowed and how resource rates and day passes split half-day from full-day pricing.

How business hours work

Business hours set the start and end time of your workday. Workdays set which days of the week count as operating days. Together, they define the boundary resource rates and day passes use to split full-day and half-day pricing: a booking of exactly half your workday (4.5 hours on a 9-hour day) counts as half-day and uses half a day pass or the half-day price of the resource rate. Anything longer than that boundary is charged at the full-day rate or requires a full-day pass.

The Member Portal's daily calendar view only displays the hours you define, so shorter business hours mean a shorter visible range. Location-specific hours override the organization's hours for that location, and any new location inherits the organization's hours until you set its own.

Set business hours for your organization

Start with a default for the whole organization, then override it wherever a location needs something different.

  1. Go to Settings > Calendar > Business Hours.

  2. Select the checkbox next to each day your organization operates. Cleared days aren't workdays.

  3. Select the start and end time fields to set the hours for those days.


Set location-specific business hours

Organization-wide hours apply everywhere until you set something different for one location.

  1. Go to Space > Locations and open the location you want to customize, or create one.

  2. Open the Business Hours tab.

  3. Select Set Location-Specific Business Hours.

  4. Select the workdays and set the start and end times for this location.

  5. Click Update.

Note: A new location inherits the organization's hours by default. Location-specific hours only take effect after you turn this on.


Restrict member bookings outside business hours

With hours defined at whichever level you need, decide whether members are actually blocked from booking outside them or just guided by the calendar's visible range.

  1. Go to Settings > Calendar > Business Hours.

  2. Select Restrict outside business hours bookings.

  3. Select which members this applies to: active, non-active, or both.

  4. Click Update.

If a restricted member tries to book outside business hours, the system blocks the attempt, and the member must pick a time inside the defined hours.

This restriction applies only to members. Admins can always book outside business hours from the Admin Portal.


Best practices

A couple of habits keep business hours predictable as your organization grows.

  • If you run locations across multiple time zones, set location-specific hours for each one instead of relying on a single organization-wide schedule.

  • If an event temporarily requires longer hours, update the location's hours beforehand and revert them afterward. The change takes effect as soon as you save it.


Time zone changes and booking display

When a location or organization changes time zones after bookings have been created or imported, the bookings will retain the time zone in which they were initially created.

This means:

  • When the location's time zone changes, existing bookings don't automatically adjust to the new time zone.

  • Instead, they are displayed in their original time slot, based on the old time zone.

  • This creates a visual mismatch on the calendar, where the booking appears at the wrong time relative to other bookings that follow the new time zone.

  • The result can be apparent overlaps in bookings, even when they don't actually conflict in real time.

Best practice: Avoid changing your time zone after the initial setup to prevent display issues.


FAQs

Can I set different business hours for different locations?

You can set different business hours for each location, and they override the organization's default hours for that location. Go to Space > Locations, open the location, open the Business Hours tab, and select Set Location-Specific Business Hours.

What's the difference between business hours and workdays?

Business hours and workdays cover two different things. Workdays are the days of the week your organization operates, and business hours are the start and end times within each workday.

Do business hours apply to all booking types?

Business hours apply to every bookable resource, including meeting rooms and desks. They control what's visible on the calendar and, after you turn on the restriction, what members can actually book.

If I restrict bookings outside business hours, can admins still book?

Admins can still book outside business hours, even with the restriction enabled. The restriction only applies to members.

Do business hours affect half-day and full-day rates?

Business hours set the boundary for half-day and full-day pricing. A booking of exactly half the workday counts as a half-day, and anything longer counts as a full day.

Why are bookings still allowed outside the hours I set?

Bookings outside your defined hours are usually still allowed because Business hours bookings isn't turned on, or because a location's hours override what you set at the organization level. Check both settings, then test with a booking attempt outside the hours you expect.

How can I temporarily extend business hours for an event?

You can temporarily extend business hours by updating the location's hours before the event and reverting them afterward. The change takes effect as soon as you save it, so members see the new availability right away.

Can I set different booking hours for individual meeting rooms within the same location?

No. Business hours apply to all bookable resources within a location—you cannot set different booking hours for individual rooms within the same location.

If your goal is to let members book at any time while restricting external visitors or non-members to business hours only, you can achieve this without separate locations. Turn on Restrict outside business hours bookings (Settings > Calendar > Business Hours) and apply it to non-active members only. This differentiates access by member status within a single location.

Note: Each location in OfficeRnD Flex is billed separately. Creating an extra location solely to give certain rooms different hours is not a supported or recommended workaround, as it incurs additional costs.
