The Closed Days feature lets you set periods when your space or specific locations will be unavailable for bookings. This is useful when closing for holidays, events, or maintenance.
In this article:
Block bookings during holidays or maintenance with Closed Days.
Add closed days globally or for specific locations.
Activate booking restriction to enforce closed days.
Admins can always make bookings on the Admin Portal.
Who can do this?
Admins with the "Owner" role and access to Settings > Calendar > Business Hours.
Add closed days
Admins with the "Owner" role can add Closed Days for all locations or for multiple locations. To do that:
Go to Settings > Calendar > Business Hours.
Click Add Closed Day.
In the Add Closed Day dialog:
Title – Enter a title.
From & To fields – Select the starting and ending dates and times of the closed days period.
Locations – Select which locations will be closed on the selected dates.
Repeats – Select whether the closed day will recur annually. Repeating Closed Days will recur each year until the Closed Day is removed or its repeatability is disabled.
Edit and remove Closed Days
To edit or remove existing closed days:
Go to Settings > Calendar > Business Hours.
Click the cogwheel icon next to a closed day.
Select Edit or Delete.
Block bookings on Closed Days
Closed Days only affect bookings if the Restrict outside business hours bookings setting is turned on.
To block bookings during your closed days:
Go to Settings > Calendar > Business Hours.
Select Restrict outside business hours bookings.
Select any combination of the following:
Active members – Cannot book outside business hours, workdays, or closed days. Applies in the Member Portal and mobile apps.
Business hours apply only to bookings of time-based resources (Booking mode = Time).
Closed days and workdays apply to all reservations, including Booking mode = Date.
Non-active members – Same restrictions as above, applied in the Public Calendar, Member Portal, and mobile apps.
Click Update.
Admins can always make bookings on the Admin Portal, regardless of restrictions.
Booking on Closed Days
Depending on the resource type, you have different options.
Time-based resources
Can be booked before or after the Closed Day time.
Example: If a Closed Day starts December 23 at 13:30, resources are available until 13:30 that day.
Date-based resources
Cannot be booked at all during Closed Days, even if the closure starts or ends mid-day.
Existing bookings
Existing bookings are not changed when you add new Closed Days. Admins must manually edit these bookings that overlap with a closed day.
Resource Rates
On Closed Days, weekend rates apply (hour-weekend, half-day-weekend, day-weekend).
If not defined, users will see the following message:
"
[Resource Name]is currently unavailable for booking as the space is closed for[Title]. Please select a time within our operational hours for your reservation."Example:
Resource availability
Resource availability on closed days depends on whether the booking is one-time or recurring and on the location's closed-day settings.
One-time bookings:
Members cannot book a resource if:
The space is closed globally (across all your locations).
The resource's location is included in the Closed Day.
Members can book a resource in a location excluded from the Closed Day.
Booking availability on the Admin Portal is not restricted; admins can still create bookings during Closed Days.
Recurring bookings:
A recurring booking cannot be created if one of its instances falls on a Closed Day.
Booking availability on the Admin Portal is not restricted; admins can still create bookings during Closed Days.
How closed days influence your reporting
When a location is marked as closed for specific dates within your selected reporting range, the utilization for those dates is calculated as 0%. This means that any closed periods will directly affect the overall utilization metrics for the filtered range. For example, if a closed period extends into a month included in your report, the utilization for that month will reflect the closure until the closed period's end date. That's why you must ensure that the closed-day settings accurately reflect the space's actual availability.
If you notice incorrect 0% utilization in your reports due to closed-day settings, follow these steps to resolve the issue:
Update the closed-day timeframe to accurately reflect when the space was unavailable. Ensure the dates align with the actual closure period.
Save your changes and wait for the analytics or reports to refresh. This may take up to several hours.
Double-check that the resource's business hours and availability settings align with your reporting date range to ensure consistency.
Notes
Admins can always make bookings regardless of Closed Days or business hours.
Bookings synced from Google Calendar ignore Closed Day restrictions.
