OfficeRnD Flex allows you to send and export booking summaries to your clients. Flex can generate and send the summary immediately to a company or a member's email address. There is no need to export the data first, although this is also an option.
What are booking summaries?
Booking summaries are designed for companies, not individual members. They provide a comprehensive overview of all bookings made by company employees, including details on usage and payment methods.
These summaries help companies track team activity, monitor spending, and maintain transparency across all employee bookings. Individual members typically manage their own bookings directly and therefore do not require booking summaries.
Booking summary email template
If you send the booking summary over email, your Booking summary template will be used. To edit the template:
Go to Settings > Data & Extensibility > Templates.
On the Member Emails tab, click the "Bookings Summary" template.
Summary data
Summaries contain the following data for each booking:
Created at - Date of booking creation
Company - Company name
Member - Member name
Reference Number
Start - Start date and time of the booking
End - End date and time of the booking
Resource - The booked resource
Summary - Description of the booking, if available.
Status - The booking status (Confirmed, Canceled, etc.)
Credits - How many credits were used (if used)
Coins - How many coins were used (if used)
Fee - Fees charged with the booking
Extras - Services requested with the booking (i.e., catering)
The total number of coins/credits used for all the bookings in the summary is also shown.
Send a booking summary
To send a booking summary:
Go to Operations and open the Company or Member profile page.
Open the Bookings tab.
Select the bookings you want to include in the summary.
Click Bookings Summary and select Send Summary.
In the dialog that opens, click Send. You will receive a confirmation message that the summary has been sent to the Company or Member's email address.
Export a booking summary
To export a booking summary:
Go to Operations and open the Company or Member profile page.
Open the Bookings tab.
Select the bookings you want included in the summary.
Click Bookings Summary and select Export Summary.
In the dialog that opens, click Export and save the file to your computer.
The exported summary is in PDF format and is contained inside a tar.gz (Tarball) archive. If you are unfamiliar with the file format, click here to learn more.
Access your exported booking summary
When you export a booking summary, the system downloads a tar.gz archive named bookings_summary.tar.gz
. This file contains the summary in PDF format.
To access the summary:
Locate the downloaded file in your browser's or computer's Downloads folder.
Extract the archive using your operating system's built-in tool or software, such as 7-Zip or WinRAR.
Open the extracted PDF file with any standard PDF viewer, such as Adobe Acrobat.
If you cannot open the file, ensure that you extract it before attempting to open the PDF.
