Checking attendees in and out and printing labels with Momice

Learn how to check attendees in and out with the Momice Check-in app, scan QR codes, print badge labels, connect Zebra printers, and set up scanning locations.

With the Momice Check-in app, you can easily check attendees in and out at your event. Scan an attendee's personal QR code or search for their registration by name. Using badges? You can print a personalized label immediately using a connected Zebra label printer.

In this article, you'll learn how to set up the Check-in app, check attendees in and out, connect a printer, and use the different features.

1. Prepare for check-in

For a smooth check-in process, you'll need:

  • A smartphone or tablet running iOS or Android.

  • The Momice Check-in app.

  • An active internet connection.

  • A personal QR code for each attendee.

  • Optional: a compatible Zebra label printer and badge labels.

The Momice Check-in app uses your smartphone or tablet's camera to scan QR codes. You don't need a separate handheld scanner.

You can use the app on multiple devices at the same time. This is useful when checking in several attendees simultaneously.

Good to know: Always scan QR codes using the Momice Check-in app, not your device's regular camera app.

Want to know which devices and printers are compatible? Read our articles about smartphones and tablets for the Check-in app and the Zebra ZD421 label printer.

2. Activate the Momice Check-in app

Before you can check in attendees, you need to activate the Check-in app for your event.

  1. Download the Momice Check-in app on your smartphone or tablet from the Apple App Store or Google Play Store.

  2. Open the Ticket Module for your event in Momice.

  3. Go to the Check-in tab.

  4. Activate the Check-in app.

  5. Momice automatically generates a login code for your event.

  6. Open the app on your smartphone or tablet.

  7. Log in using the generated code.

You can now use the Check-in app for your event.

Troubleshooting a login error

Seeing the message Error while logging in, no valid signature? Your device's date and time may be set incorrectly.

  1. Open the date and time settings on your smartphone or tablet.

  2. Check that the date and time are correct.

  3. Enable automatic date and time settings if needed.

  4. Try logging in to the Check-in app again.

3. Connect a Zebra label printer

Want to print personalized badge labels immediately during check-in? Connect a compatible Zebra label printer to the Momice Check-in app via Bluetooth.

After logging in, the app automatically tries to connect to the nearest available Zebra label printer.

On the home screen, Connected Printer shows which printer is connected. The printer name is a 12-character code.

Select a printer manually

Has the app not found a printer, or do you want to use a different one?

  1. Open the Momice Check-in app.

  2. Tap Select printer.

  3. Select the printer you want to use from the list.

  4. Wait for a check mark to appear next to the printer name.

The printer is now connected.

Check the printer connection

The printer's control panel has several status lights.

The right-hand light, next to the symbol with three blocks, may be red. This does not mean that the Bluetooth connection isn't working. This light relates to the printer's Wi-Fi function.

Check Connected Printer in the Check-in app to make sure the correct printer is connected.

Tip: Using multiple printers? Connect each smartphone or tablet to its intended printer one at a time. Check the printer name after each connection. This prevents a device from automatically connecting to another available printer.

4. Check in attendees using a QR code

Each attendee can receive a personal QR code through the e-ticket included in their registration confirmation. You can also make the QR code available through the QR code widget or the personal page.

How to check in an attendee

  1. Open the Momice Check-in app.

  2. Select the correct scanning location under Location.

  3. Go to Scan.

  4. Scan the attendee's personal QR code.

  5. After a successful scan, the message Checked-in appears.

The attendee's details and check-in time are displayed.

In the Registration Module, the attendee's attendance status automatically changes from absent to present.

Automatically print a badge label

Have you connected a Zebra label printer? A personalized label will automatically be printed when you check in an attendee.

Want to print the same label twice, for example, to place a label on both sides of a badge?

  1. Open the Ticket Module.

  2. Go to the Check-in tab.

  3. Set each label to print twice.

5. Search for and check in attendees by name

Does an attendee not have their QR code available, or is the QR code not working? You can find their registration using Search.

  1. Open the Momice Check-in app.

  2. Go to Search.

  3. Search for the attendee by name.

  4. Select the correct registration.

  5. View the attendee's details and current check-in status.

  6. Check in the attendee or print a personalized label if needed.

You can also use Search to find attendees who have already checked in or out.

Open the registration to view the check-in and check-out times. You can also check out an attendee who is currently checked in.

Good to know: Attendees remain searchable through Search even after they've checked out.

6. Check out attendees

Want to record when attendees leave your event? Use a scanning location with the Exit setting.

  1. Select the correct Exit scanning location under Location.

  2. Open Scan.

  3. Scan the attendee's QR code.

  4. After a successful scan, the message Checked-out appears.

You'll see the attendee's details, check-in time, and check-out time.

These times are automatically saved in Momice. You can also find this information by searching for the attendee through Search.

7. Set up and use scanning locations

Scanning locations allow you to register attendees at different places, such as the main entrance, a workshop room, or the exit.

Create a separate scanning location for each place where you want to scan attendees.

You can assign a unique login code to each scanning location. This lets you control who has access to a specific scanning location.

Please note: Scanning locations without an assigned login code are available to anyone with access to the Check-in app for your event.

Select the correct scanning location

  1. Open the Check-in app.

  2. Go to Location.

  3. Select the scanning location where you want to scan attendees.

  4. Go to Scan and start scanning.

At the top of the scanning screen, you'll see the selected scanning location, the expected number of attendees, and the number of attendees already checked in.

Please note: If you close the app and log in again, the app automatically selects the first scanning location in the list. Always check that the correct scanning location is selected before continuing.

Record multiple scanning times

If you scan an attendee multiple times at the same scanning location, only the first scan time is saved.

Want to record an additional scan, for example, when an attendee returns later? Create an additional scanning location and scan the attendee there again.

In the export from the Registration Module, each scanning location has its own column showing the date and time of the scan.

8. Menu options in the Check-in app

The Momice Check-in app has five menu options.

9. Test the Check-in app before your event

Want to check whether QR code scanning and label printing work before your event? You can test the Check-in app in advance.

You can only check in attendees within the scanning time slot set for their admission ticket.

How to test the Check-in app

  1. Open the Ticket Module in Momice.

  2. Click the pencil icon next to the admission ticket.

  3. Go to the Advanced tab.

  4. Temporarily adjust the "Ticket scanning time slot" so that the current time falls within the time slot.

  5. Open the Momice Check-in app.

  6. Scan a test ticket.

  7. Check that the scan and any label printing work correctly.

  8. After testing, change the time slot back to the correct times for your event.

Please note: Scanning a ticket during testing marks the attendee as present. You'll see this indicated by a yellow dot in the Registration Module.

Tip: Want to keep ticket scanning available from your test until the end of the event? Set the start of the scanning time slot to your test time and the end to the end of your event. You won't need to adjust the time slot again after testing.

10. Common situations during check-in

An attendee is scanned multiple times

An e-ticket can be scanned multiple times.

  • First scan: The screen turns green and the attendee is checked in.

  • Second or subsequent scan: The orange message "Warning: Duplicate check-in" appears.

As the organizer, you decide how to handle a duplicate check-in.

An attendee doesn't have a QR code

Search for the attendee's registration by name using Search. You can then check in the attendee and print a label if needed.

An attendee's name is misspelled on their badge

Correct the name in the Registration Module and save the changes. Then search for the attendee again in the Check-in app and reprint the label.

The printer isn't printing in the correct position

The Zebra label printer may need to be recalibrated. Calibration realigns the labels so that the text is printed in the correct position.

How to calibrate the printer:

  1. Press the two outer buttons on the printer at the same time.

  2. Hold them for a few seconds.

  3. Release the buttons as soon as the printer makes a sound.

  4. The calibration process starts automatically.

The label roll is empty

How to replace the label roll:

  1. Remove the label roll from the sticker peeler.

  2. Pull the yellow brackets apart and remove the old roll.

  3. Place the new roll between the yellow brackets.

  4. Insert the end of the label strip into the sticker peeler.

  5. Check that the roll runs underneath the yellow guides.

11. Important points to note

Keep the following points in mind during check-in:

  • Activate the Check-in app in the Ticket Module before your event.

  • Make sure you have an active internet connection.

  • Check that the ticket scanning time slot is set correctly.

  • Always select the correct scanning location.

  • When using multiple printers, make sure each device is connected to the correct printer.
