How to set up Summary Reports

Overview

Summary Reports provide Users with an overview of required activities within their area on a regular basis. These reports keep you updated, and if further inspection is needed, you have easy access through the backend application.

Users must be Super Users or have the following roles to create Summary Reports:

  • Notification Rules: Create


What is a Summary Report?

A Summary Report consolidates Checklist and Assignment activities and reports the overall figures (completed vs. missed Checklists and created vs. resolved Assignments) via email to each User. The links in the email provide direct access to relevant areas in the web app, allowing you to inspect the specific activities behind the aggregated numbers.

Four key metrics are included in the summary email:

  • Completed Checklists

  • Missed Checklists

  • Created Assignments

  • Resolved Assignments

When generating the report, the recipient's language and locale are considered, affecting the language and formatting of dates.

By clicking the view link for completed, missed, and created items, you are directed to the appropriate view in the web app with predefined filters.

Warning: Be aware that if a device cannot submit its stored Results (e.g., due to no connectivity), they will be reported as missing/not completed. When the device eventually reconnects, it will upload the finished Checklists, which will be scheduled at the time they were completed. This means that the completed and missed metrics might change in some circumstances.

How to Set Up a Summary Report

Note: The report is generated based on the Locations and Checklists the recipient has access to. Review the example setup at the bottom of this article for further details.

To set up a Summary Report, follow these steps:

  1. Navigate to Notification Rules

  2. Click the Create button

  3. Click Summary Report

  4. Define a name and optional description for the Report rule

  5. Define the email's Subject

  6. Set the time zone.

    1. This influences how the reporting defines a day, week, and month. Reports are generated after midnight in the chosen time zone, typically matching the schedules you are reporting on.

  7. Set the frequency (daily, weekly, or monthly)

  8. Add Locations and/or Location Groups to the Target field

  9. Add Users and/or User Groups who should receive the report

  10. Add limitations to the specific Checklists for the report, if applicable

  11. Click Save

Example Summary Report

The report is generated based on the Checklists and Locations defined in the rule, considering each recipient's access. This example demonstrates how to limit the number of rules needed.
