How to handle missing results

Overview

When a Checklist's deadline ends, the Checklist is removed from the mobile app Checklist view and is then sent to the backend under Missing Results. Missing Results are the culmination of all checklists on the account that were not answered within the allotted time on each's Schedule.

Users must be Super Users or have the following role to manage Missing Results:

  • Results: Validate Missing

  • Schedules: Create


What are Missing Results?

When setting up Calendar Schedules or Ad Hoc Slots, each time slot is an instance where a Checklist is live within the mobile app, and with that a Checklist has a few different states it can be in depending on each Schedule's settings:

State

Availability in the mobile app

Future / Planned

  • Can be seen in the Calendar tile, or

  • Can be completed in the Calendar tile if the Schedule is set up for Allow early start

Available / Started / Overdue

  • Can be completed in the Checklist tile

Missing

  • Cannot be seen or completed in the Checklist tile

Rescheduled

  • Can be completed in the Checklist tile

Since these missing Checklists can no longer be seen or completed in the mobile app, it is important for you to understand the actions you can take when it comes to a missing result:

  • Approving a Missing Result

  • Rescheduling a Missing Result

  • Ignoring a Missing Result


Approving a Missing Result

The first of three actions you can do to a Missing Result is Approving it. Approving a Missing Result essentials tells the system that it is OK that this instance of the Checklist not being completed.

To Approve a Missing Result, follow these steps:

  1. Click the > next to Results

  2. Click Missing Results

  3. Select the Result you want to Approve

  4. Click the Approve Missing Result(s) button

  5. Add in optional comment and attachment information

  6. Click Approve


Rescheduling a Missing Result

Another action you can take for Missing Results is to Reschedule them. Rescheduling a Missing Result allows you the opportunity to open a new time slot for this Checklist to be completed in the app.

To Reschedule a Missing Result, follow these steps:

  1. Click the > next to Results

  2. Click Missing Results

  3. Select the Result you want to Reschedule

  4. Click the Reschedule Missing Result(s) button

  5. Add in optional reason and attachment

  6. Choose to Make all existing resumable results available or not

    1. Toggling this on will allow any questions previously filled out prior to the Checklist going missing to remain

  7. Configure the new time slot settings

  8. Click Reschedule


Ignoring a Missing Result

Finally, a proactive step you can take for Missing Results is to enable a setting called Ignore Missing Results on a Schedule.

Ignoring Missing Results should be used in moderation and with the knowledge that any Schedule with this setting cannot use the previous two options as there will be no Missing Result to Approve or Reschedule.

Warning! It is never recommended to utilize the Ignore Missing Results and Critical for Operation settings at the same time as this can lead to multiple instances of CFO Checklists never be completed and no record of them being missing.
