Adding external Links to the Library

Store external web links in the Library alongside Manuals and Videos, organize them in Folders, scope them with limited access, and surface them to Users as reference material.

Overview

Alongside Manuals and Videos, the Library can hold external Links — URLs to web resources such as a manufacturer's online portal, a regulatory page, or an internal wiki. Storing a Link in the Library means you maintain the address in one place, organize it in your Folder structure, and scope who sees it, instead of pasting raw URLs into individual Checklists. This article covers adding Links, organizing them, and how they reach your Users.

Users must be Super Users or have the following Role to add Links to the Library:

  • Library: Create

Why this matters: A Link in the Library has one canonical address. When the destination URL changes, you update it once and every place that references it stays current — no hunting through Checklists for stale links.


Links among the Library content types

The Library holds three kinds of reference material, all organized into the same Folders:

Note: Like Videos, a Link points to content Mobaro doesn't host. A Link opens in the browser and needs an internet connection — it isn't available offline.


Adding a Link

1. Open the target Folder

In the Mobaro Backend, open the Library and click into the Folder where the Link should live.

2. Create the Link entry

Create a new Link and give it a clear name and description — Users see the name, so Manufacturer service portal beats link.

3. Add a version with the URL

Click + to add a version and paste the destination URL. As with Manuals and Videos, a Link can hold more than one version — for example a separate URL per language or region.

4. Optionally set limited access

Scope a version to specific targets (Roles or User Groups) when a Link should only reach certain Users.

5. Save

The Link is now stored in the Library, ready to surface to Users.

Best practice: Keep Links in a clearly named Folder (for example External resources) so they're easy to find and so Folder permissions — Publish Recipients and Targets — apply consistently. See Use permission folders in the library.


How Links reach Users

A Link surfaces to Users the same ways other Library content does:

  • In the Library — Users browse the Folder structure and open the Link, subject to the Folder's Publish Recipients and Targets.

  • As reference material on a Checklist — attach the Link to a Checklist question so it appears inline while a User completes the Checklist. See How to create a checklist.

Heads-up: Because a Link opens an external page, the User needs an internet connection. Unlike a downloaded Manual, a Link won't work offline.


Example: a manufacturer service portal

Scenario

A maintenance team frequently checks a coaster manufacturer's online portal for the latest service bulletins, and the portal's URL occasionally changes.

Setup

  • An administrator adds a Link named Coaster X — manufacturer portal in the External resources Folder.

  • The Folder's Publish Recipients are set to the Maintenance Team and its Publish Target to the coaster Location.

Result

  • Technicians open the portal from the Library on any ride they cover. When the URL changes, the administrator updates the one Link and everyone stays current.


Frequently asked questions

Q: How is a Link different from a Video?
A: Both point to external content Mobaro doesn't host. A Video is specifically a YouTube or Vimeo embed that plays inline; a Link opens any web URL in the browser.

Q: Can a Link work offline?
A: No. Links open an external page and require an internet connection. For offline reference, use a Manual (PDF), which can be downloaded.

Q: Can one Link have different URLs for different teams or languages?
A: Yes. Add multiple versions, each with its own URL and optional limited-access targets, so Users see the version scoped to them.

Q: Who can see a Link?
A: Visibility follows the Folder's Publish Recipients and Targets, plus any limited access set on the version. See Use permission folders in the library.
