Overview
Assignments move through a series of statuses that show where a task is in its lifecycle. Knowing what each means — and who can change them — keeps work trackable and accountable.
Users must be Super Users or, to change an Assignment's status:
Be assigned to it directly (User) or indirectly (User Group), and
Have the Assignments: Modify permission — with access to the Assignment's Location, or paired with Locations: View and Assignments: View.
Why this matters: Statuses are how everyone sees what's actually being worked on versus waiting versus done. Consistent use keeps the Assignments view and your reporting honest, so nothing quietly stalls.
The statuses
Status | Meaning |
Open (Created) | Created and pending action, delegation, or completion. The default state for a new Assignment. |
Started | Work is in progress but not yet complete. Set from the Backend. |
Finished | Completed and resolved, with a solution documented if required. It stays in the system for reporting and auditing. |
Reopened | A Finished Assignment reopened with a justification. Reopening makes you the assignee. |
Note: These are the default statuses. Assignments created from custom Assignment Definitions (Managed Availability) can have their own states — check with your administrators for what your organization uses.
Changing an assignment's status
From the mobile app
Open the Assignment, tap the current status, and select a new one.
From the Backend
Open the Assignment from the Assignments tab, select the status field, and choose the new status.
Frequently asked questions
Q: Why can't I change an Assignment's status?
A: You're likely not assigned to it (directly or via a User Group), or you're missing the Assignments: Modify permission. Check with an administrator.
Q: Can I add or rename the assignment statuses?
A: Yes — with the Managed Availability add-on, custom Assignment Definitions can define their own states. The default Open / Started / Finished apply to standard Assignments.
Q: What's the difference between Started and Open?
A: Open means logged but not begun; Started means someone is actively working it. Started is set from the Backend.
