This article explains how and why Orphaned Assignments show up on Result Reports.

Overview

Orphaned Assignments are Assignments that were initially created during the completion of a Checklist on the mobile app but later became unlinked or irrelevant upon the final submission of the Checklist. This article explains how Orphaned Assignments occur and what happens to them.

Users must be Super Users or have the following Role to view a Result:

  • Results: View


What are Orphaned Assignments?

Orphaned Assignments result from uncompleted or saved versions of a Result that are no longer relevant or attached to the final, submitted version of that same Result. They occur when an Assignment is created (either manually or through a Trigger), and the result is saved either locally or to the cloud. Upon resuming the result, if the Assignment is deleted or the trigger settings no longer apply (due to an answer change, logic hiding the question, etc.), the Assignment becomes orphaned upon final submission.

Scenarios Leading to Orphaned Assignments

Manual Creation and Deletion

  • Scenario: A User manually creates an Assignment while filling out a Checklist and then deletes it before submitting the final version.

  • Outcome: The Assignment becomes orphaned, as it was not included in the final submitted Checklist.

Triggered Assignments

  • Scenario: A Checklist contains Questions that trigger Assignments based on specific answers. If a User changes the answer after the Assignment is triggered, the Assignment becomes untriggered.

  • Outcome: The previously triggered Assignment is orphaned because it no longer applies to the final answers in the submitted Checklist.

Saving and Resuming Results

  1. Assignment Creation: An Assignment is created during Checklist completion.

  2. Saving the Result: The Result is saved locally or to the cloud, creating the Assignment in the system.

  3. Resuming the Result: When the Result is resumed, changes may delete the Assignment or make trigger settings no longer apply.

  4. Submitting the Result: Upon final submission, the original Assignment becomes an orphaned Assignment.

Handling Orphaned Assignments

  • Visibility: Orphaned Assignments are still visible in the system and can be reviewed by Users with the appropriate permissions.

  • Orphan Assignments Section: These Assignments will appear in a new section called "Orphan Assignments" on the Result Report.

Tips for Managing Orphaned Assignments

  • Regular Review: Regularly review Orphaned Assignments to ensure they are handled appropriately.

  • Clear Communication: Communicate with your team about the potential for Orphaned Assignments and how to handle them.

By understanding and managing Orphaned Assignments, you can maintain a clean and efficient system, ensuring that all Assignments are relevant and up-to-date.
