How to deactivate a User

This article will show you the options to deleting or disabling a User's access as well as seeing what data will be retained in the system.

Overview

Managing your staff in Mobaro is straightforward. You can either disable a User's access or fully delete a User from your Organization.

Users must be Super Users or have the following roles to pause or delete Users:

  • Users: Modify


Managing Users

Within your Organization, you have two options for managing Users:

  • Disable access

  • Delete access

Disabling access

The Disable User function is ideal for managing seasonal staff or Users who may need future access to the system. Disabling a User will immediately prevent them from accessing your Organization's account while maintaining all existing mappings throughout the system.

To disable a User's account, follow these steps:

  1. Navigate to Users

  2. Search and select the User you wish to disable access for

  3. Click Disable

Deleting access

The Delete User function is used for staff who should be removed from the platform permanently. Deleting a User will immediately prevent them from accessing your Organization's account and delete all existing mappings throughout the system.

Deleting a User will immediately prevent that User from accessing your Organization's account while also deleting all existing mappings throughout the system.

Note: While mappings for a deleted user will not be preserved, all existing historical data, including completed results and assignments, will remain in the system. However, the user will no longer be an active filter for this data.

To delete a User's account, follow these steps:

  1. Navigate to Users

  2. Search and select the User you wish to delete

  3. Click Delete

Warning: Deleting a User cannot be undone and all mappings for this User will be deleted as well, including:

  • Assignments assigned to this User will become unassigned.

  • Checklist Assignment Triggers where the User is Assignee will become unassigned.

  • Checklist Questions where the User is referenced will be updated.

  • Schedules assigned to this User will be updated.

  • Roles containing this User will be updated.

  • User Groups containing this User will be updated.

  • Locations containing this User will be updated.

  • Location Groups containing this User will be updated.

  • Notification Rules where the User is the recipient will be updated.

  • Certifications belonging to this User will be deleted.

Users across multiple Organizations

When managing Users that belong to multiple Mobaro organizations, each "instance" of that User must be disabled or deleted individually to ensure access is properly removed.

Note: To edit, disable, or delete a User that belongs to multiple Mobaro Organizations, you must:

  • Be a member of all Organizations the User is part of

  • Have editing permissions for Users on all Organizations the User is a member of

Re-enabling a User

Users who have been disabled in the system can be easily re-enabled. Once re-enabled, the User will immediately regain the same access level they previously had on the account.

To re-enable a User, follow these steps:

  1. Navigate to Users

  2. Search and select the User you wish to re-enable

  3. Click Enable

Managing Super Users
