1. Introduction
This document is intended for end users and describes how to use the features available on their Avaya IP Phone. This document also describes the key-features on the new Avaya SIP phone and provides an overview of the basic and more common used features on the phone.
1.1 Avaya physical phone layout.
Please take some time and familiarize with the phone keys/buttons. In below illustration and sheet you can find the name and description of each button on the phone. Please use it as reference, as the same names will be used further on in this guide.

2. Basic Features
2.1 How to answer a call
When you receive a call, there are different ways to answer.
You can do one of the following:
Lift the handset
Press Speaker-button
Press the OK-button
Press the Answer soft key
2.2 How to transfer a call
When you are on the line with the active call.
Press Transfer soft key
Press dial for destination.
Insert number that the call needs to be transferred to
Select following feature/application
-Press “Talk” to notified user before transfer the call.
-Press “Now” call will be transferred.
2.3 How to make a conference call
To make conference call,
dial the first number and when party answers,
Click on the conference button.
Enter new number and dial
When answered, press the Join button.
To add another person, press Add and repeat Step 2 and 3.
2.4 Call forwarding activation/de-activation.
To forward your extension, press the forward Soft key
Enter the extension number you wish to forward to
If forwarding to an outside number, add nine before the number to forward to.
To de-activate call forwarding
Press the forwarding button and hit cancel.
2.5 How to pick-up a call
Please note, that in order to pick-up a call from another ringing phone, both phones need to be in the same Pick-up-group. If this is not the case, please contact Helpdesk.
There are two options to pick-up a call.
Using the feature key on your phone
Dialing an access code
2.5.1 Option1 - using the feature key
To pick-up a call in your pick-up-group, press the Main Menu button as circled below.
Select the feature key.
Select the “call pickup’’ key.
2.5.2 Option2 - using access code
When you want to pick-up a call in your group, you can also use a code.
• press *87 and call button
3. Phone Security
3.1 Logging in on an Desk-phone
This method is used to login at an unregistered phone. You can recognize an unregistered phone by Enter Extension on the display.
Enter your extension number. As you enter it, you can use the Bksp and Clear soft keys to make corrections.
When your number is displayed, press the OK soft key.
Enter the phone password. Use the Bksp and Clear soft keys to make corrections. This password being sent by email from AvayaSMGR system when the user extension is created and is required for registration. If you don’t know this, please contact IT-Helpdesk.
When you have entered the phone password, press Done. If the details are correct, you user details will be loaded into the phone.
3.2 Logging Out from Desk-phone
Logging out using the method below disassociates you from the extension.
Press the “Main menu” button.
Use the up and down cursor keys to highlight Applications. Press Select.
Use the up and down cursor keys to highlight Log out. Press Select.
You will be logged out of the phone.
3.3 Locking and unlocking the Desk-phone
Use this procedure to lock your phone and to prevent its use when you are away. Locking your phone does not log you out, so you’ll still be able to receive calls and make internal calls.
Press the “Main menu” button .
Use the up and down cursor keys to highlight Applications. Press Select.
Use the up and down cursor keys to highlight Lock. Press Select.
You will be logged out of the phone.
To unlock the phone, press Unlock and enter the login password.
4. Advanced Features
4.1 Managing Contacts - Adding a new contact
Use this procedure to add a personal contact to the phone. You can save up to 250 contacts.
Press Contacts.
Do one of the following:
If your Contacts list is empty, press New.
If your Contacts list is not empty, press More > New.
Use the dial pad to enter the contact’s first and last name in the corresponding fields.
Enter the number of the contact.
Press Save.
4.2 Making a call from the local Contacts list
Press Contacts.
Scroll to the contact you want to call.
(Optional) Press Search, and press the digits on the dial pad that correspond to the letters of the name of the person you want to call.
Press one of the following:
Call
OK
4.3 Assigning speed dial entries to contacts
Use this procedure to assign speed dial numbers to your contacts. You can assign up to nine speed dial numbers to the phone numbers from your Contacts list.
Press Main menu.
Scroll to Settings, and press Select.
Scroll to Phone, and press Select.
Scroll down to Assign speed dial entries, and press Select.
Scroll down to an unassigned dial entry that you want to use for assigning a contact.
Press Contact. The phone will display the Contacts list.
Scroll to the suitable contact, and press Select. The phone will update the speed dial entries.
To assign a contact to an assigned entry, press Replace.
To remove a contact from the entry, press Clear.
Press Save. Press Recent.
4.4 Viewing call history details
Press Recent.
(Optional) To navigate through Main menu, scroll to the following:
Applications, and press Select.
Recent, and press Select.
Select the number that you want to view
4.5 Turning button clicks on and off
Press Main menu.
Scroll to Settings, and press Select.
Scroll to Audio, and press Select.
Use the Down Arrow key to go to the Button Clicks screen.
Press Change to turn the audio on or off. 6. Press Save.
