Guide: Venue Plans - Reserved Seating

Follow to steps below to create a Reserved Seating Venue Plan

1. Create a new Venue Plan

a) Go to the Venues page on the left hand side

b) On the Venue Plans tab, click New Venue Plan

2. Enter details

a) On the pop-up select Reserved Seating and enter the following:

  • Name - this is for internal use, customers will never see this

  • Description

  • Tags - for internal use, these will help group your Venues on your Venue Plan list

b) Click Submit

3. Edit Plan to start using the Venue Plan builder

a) On the Venue Plan list, click the 3 dots to the right of the plan

b) Click Edit Plan

4. The Builder - Overview of Tools, Navigation and Hierarchy

a) Overview of the Builder

  • Save Frequently - the builder does not auto-save or undo, so if you leave the page, move the window, or your internet connection disconnects, you will lose your progress.

    • We highly recommend saving on a regular basis. This can be done by clicking on an empty space so the Settings comes up on the right side and pressing Save Venue Plan.

    • If you have made a mistake, you can remedy this by refreshing the page and the last saved version will appear.

b) On the top bar, these are the tools you'll be using within the Builder to create your Venue Plan.

  • 3 Dots - will add a Row of 10 seats into a selected Area or Section

  • Add Area/Section - will add an Area when nothing is selected or within a Block. However when an Area is selected, this button will add a Section within it.

  • Add Block - will add a Block to selection (Blocks are used for Arena-style seating)

  • Add Shape - adds a polygon or a circle to your Venue Plan. Used either for Arena-style rendering, adding a stage, or dining tables

  • Centre Rows & Align Left/Right - will centre or align rows within the selected Section

  • Duplicate [X] - will duplicate the selected item and copy the exact attributes. This will also copy its position within the Navigator

  • Pan Venue Plan - toggling this will prevent items from being selectable and allows you to move freely within the Builder.

  • Toggle Select Seat - normally when clicking on a seat, you are selecting the Row as a whole. Toggling this will enable you to move the individual Seat and change its Label and Index within the Row

  • Centre Venue Plan - clicking this button will bring you to the centrepoint of the Builder when you may have gotten lost within it.

  • Delete Selection - whichever item you have selected, clicking this will delete it

c) The Navigator

  • On the left side, you'll use the Navigator to select and manage the hierarchy of your Venue Plan. If you're unsure of your Hierarchy, please see below screenshot

  • You can also use it to hide and show specific Sections, Areas, Blocks, and even the whole plan by clicking on the relative Eye icon.

d) What Hierarchy should I use?

  • Your Hierarchy, i.e. how you structure your Venue Plan, will depend on the type of venue you want to build.

  • In a conventional theatre plan:

    • An Area would be Stalls, Circle, Royal Circle, etc.

    • A Section would be Stalls Left or Stalls Right. These would be separate Sections within the Stalls Area

    • You would then add your Row to your Section.

    • Then you can modify the Seats on that Row.

    • So the Hierarchy would look like:

      • Area>Section>Row>Seat

  • However, if your plan is more unconventional, such as an Arena, a Blackbox, or Cabaret-style seating, etc., then please contact the Line-Up Team to discuss further.

5. Add Areas

a) On the Venue Plan builder, add an Area by clicking on the square icon

b) On the right, you can edit the following details for your Area:

  • X/Y Axis - make miniscule adjustments horizontally or vertically

  • Angle - rotates the entire Area, via degrees (e.g. entering 45 is 45 degrees).

  • Doors Information - provide specific entry details for tickets within this Area

  • Sequential ID - change the indexing in relation to other Areas

  • Group Name - e.g. Stalls, Front, etc. Customise the font type, size, weight and angle

  • Show Label on Venue Plan - optional

  • Row Labels - choose from Left, Right, Both or None

  • Seat Spacing - increase the space between seats by clicking the left/right arrows

  • Row Spacing - increase the space between rows by clicking the left/right arrows

  • Reverse Row Direction - optional

  • Add section to an existing Block - nests the Area within a Block in the Navigator

6. Add Sections to your Area

a) Click on the square icon again to add a Section within your Area

b) Enter details for Section, e.g. Group Name = Stalls Left

7. Add Rows to your Section

NOTE - you may want to increase your Row Spacing (recommended is 35) in your Section before doing this, so that the duplicated rows appear consistently underneath each other

a) Click on the Section in the Navigator to select. And then the 3 dots icon in the top left. Click and drag to adjust position

b) On the right you can enter the following details for your Row:

  • X/Y Axis - make miniscule adjustments horizontally or vertically

  • Angle - rotates the entire Row, via degrees (e.g. entering 45 is 45 degrees).

  • Doors Information - provide specific entry details for tickets within this Row

  • Sequential ID - change the indexing in relation to other Rows

  • Number of seats - increase or decrease the amount of seats in your Row (it will automatically provide you with 10 seats)

  • Rotation - rotate seats by clicking the left/right arrows

  • Curve - add a curve to Row by clicking the left/right arrows

  • Seat Spacing - increase/decrease the space between seats by clicking the left/right arrows

  • Row Label - e.g A, B, C

  • Position - choose the position for your Row Label, Left, Right, Both or None

  • Seats Labels - choose from 1, 2, 3; A, B, C or Custom

  • Label start offset - optional, offset your Seat Labels if you wish, e.g. if you want your first seat to be number 10, enter 9

  • Reverse direction of labels? - optional, select if you want to your numbers to start from the opposite direction

8. Managing your Rows and Seats

a) To add more Rows, you can either:

  • Click the Section in the Navigator and then click Add Row to Selected Section

  • Or click on the row and click Duplicate selected Row if you want the same Row attributes to carry over. Ensure that you've changed the Row Labels as these will also duplicate

NOTE - if you have already made sales on this venue plan, make sure you Lock Seat Labels before making any changes to seats. See further in Guide: Edit Venue Plans

9. Duplicate

Once you are happy with your adjustments (angle, curvature, spacing, etc), you can duplicate the Area, Section or Row. The new item will be an exact copy and nested at the same level in the Hierarchy as the item you duplicated from.

NOTE - The Label of the duplicated item will be the same, except with an added asterisk.

a) Click on the Area, Section or Row

b) Click Duplicate on the top bar

10. Blocks

Blocks are designed for arena-style venue plans. These can sit on top of your Areas and will allow ticket buyers to zoom into a section on the Venue Plan to book seats.

You must add a Shape to your Block in order for the customer to select seats within that block. Once you add the Block, it will cover the seats on the live Venue Plan. The customer can then click the block to reveal the seats underneath. See step 9 for how to add a Shape.

a) Click on the plan, outside of the Area/Section

b) Click on the Block icon

c) Add details to your Block, e.g. Group Name = Block 1

d) Add Area to Block - under Parent Seating Group, select the Block from the dropdown

11. Add Shape - draw over your Block with a Polygon shape

NOTE - you must add a shape to your Block in order for the customer to select seats within that block. Once you add the Shape, it will cover the seats on the live Venue Plan. The customer can then click the block to reveal the seats underneath.

a) Select the Block in the Navigator, and then the lightning icon to start building the shape

b) Draw a Polygon shape over the Block:

  • Click Add New Shape and draw the 4 corners of your shape on top of the Block:

NOTE - Holding down Shift while drawing the lines will lock the pencil to horizontal/vertical lines

  • On the right, you can fill the shape with a colour of your choice and amend the direction of each corner point of the Polygon.
