Activate your employees

For whom: Admin, HR Admin Send welcome emails to your employees and activate their access to Kenjo with an activation link.

Written by Franzi Schuetzer

Prerequisite: All employees must already be added to Kenjo. If you still need to add employees, read the article "Add Employees" first.

Up to this point in your implementation, all your employees have been inactive. This way, you could set up and test your account without your employees receiving any emails.

Once you have finished setting up your account, you can activate your employees in bulk.

Activate multiple employees at once

This is the fastest way when you're ready to go live and want to invite all employees at once.

  1. Go to People.

  2. Click the checkbox in the header to select all employees.

  3. Click Actions > Activate Employees.

  4. A dialog shows: "The invitation email will be sent immediately. This action cannot be undone."

  5. Click Activate Employees to confirm.

Employees receive an email with an activation link and the welcome text you entered under Settings > Welcome Wizard. They are asked to complete their personal information and upload a profile picture. Once they have completed these steps, their status automatically changes to Active.

Note:
The activation email is valid for thirty days. If the employee has not signed in via the activation link within this period, they must be activated again through the system.

In the employee directory, you can use the Employee status filter to find all employees who are not yet activated and activate them individually or in bulk.

Employees are billed as soon as the Kenjo invitation email is sent. For more information, see FAQ: Billing and Invoice Management.

Activate employees individually

If you don't want to invite everyone at once, you can activate employees individually.

  1. Go to People and click the employee's name.

  2. Click Activate Employee on the right side of the screen.

The employee receives an email with an activation link and your welcome text.

Activation link expired: resend the invitation

The activation link is valid for 30 days. If an employee doesn't click the link within this time, it expires.

To resend the invitation:

  1. Go to People and click the employee's name.

  2. Click Resend Invitation.

The new invitation email is sent immediately and is valid for another 30 days.

Filter employees who haven't been activated

You can see in the overview which employees haven't been activated yet:

  1. Go to People.

  2. Click the filter icon at the top.

  3. Under "Status", select Not yet activated or Expired.

You now only see employees whose invitation is pending or has expired. You can activate them directly from here or resend their invitations.

Employees aren't receiving the invitation email

If an employee doesn't receive an email, it's usually due to their email address:

  • Make sure the employee's work email is active before you add their profile. If Kenjo can't deliver an email, the system blocks future deliveries to that address.

  • If this has already happened, email support@kenjo.io. The support team can reset it for you.

Frequently asked questions

What happens when I activate an employee?
An activation link is sent immediately by email. The employee must click it to unlock their account. In the employee directory, you'll see their status as "Invited".

Can I personalize the invitation email?
Yes. Go to Settings > Welcome Wizard and edit the text all employees see in their invitation email. The change applies to all new activations.

Will employees be billed when I activate them?
Yes. Billing starts when the invitation email is sent, not when the employee first logs in. You can find more information under Settings > Billing.

Can I activate an inactive employee later?
Yes. You can activate an employee at any time — even weeks or months after adding them. Go to the employee's profile and click Activate Employee.

Can I undo the activation?
No. When you activate employees, the emails are sent immediately and the action can't be undone. If this happened by mistake, contact the support team at support@kenjo.io.
