What is the Documents & policies add-on?

Overview

The Documents & policies is an add-on functionality your organisation can subscribe to. This add-on lets you upload your own documents for users to read, so you can make sure your teams are familiar with the materials that matter to your organisation.

You can set a resource as required reading and link it to specific courses through course settings.

Typical documents include company policies (such as health & safety, data protection, or code of conduct), employee handbooks, procedures and guidelines, risk assessments, and onboarding materials.

How it works

You upload resources into the LMS, and they become available to your users under the Documents & policies tab in their own accounts, where they can familiarise themselves with them.

Documents must be in PDF format.

Required reading

Resources that must be read by everyone in your organisation — such as fire safety procedures — can be marked as Required Reading.

Linking resources to courses

Resources can be linked to training courses, so learners are reminded to review them at the end of the course, before starting the test.

Linked resources can also be marked as Required Reading for course completion: when set as required, they're highlighted, and learners must confirm they've read and understood them before moving on to the test.

Linking resources segments

Resources can also be linked to segments, so only learners in that segment can view the resource. A resource can be linked to more than one segment.

Messaging

If you have resources set to Required Reading, you can include a reminder to read them in your automated messaging emails.

Reporting

You can download a CSV file of Documents & policies activity. It includes learner and resource details, activity type and its date and time.

Archiving or deleting resources

Resources you no longer need can be archived or deleted.

What file format do documents need to be in?

Must be a PDF file of no more than 20Mb

How do I get the Documents & policies Add-On?

It's an Add-On available on a subscription basis. Speak to your Customer Development Manager to find out more.

What's the difference between required reading for everyone and required reading for a course?

Required for everyone — the resource is obligatory reading for all your users, regardless of the courses they're enrolled on.

Required reading for a course — only users taking that course have to read it, and they must confirm they've read and understood it before taking the test. This suits documents that go hand in hand with the course material.
