Overview

When you add a user, you decide how they'll log in: with their email address, or with a username and temporary password. Which one you choose usually comes down to whether the user has an email you can use.

Sign-in methods available

1. Sign in by email

If a user has an email address — corporate or personal — you can use it as their sign-in method.

Once created, the user is automatically emailed a login link. The first time they sign in, they are asked to create their own password.

Note: The login link is sent automatically as soon as you create the user. If you'd rather not contact them yet, either set them up with a username instead, or wait to add them until the timing suits your communication plan.

2. Sign in by username

If a user doesn't have an email address, you can set them up with a username and a temporary password instead.

Because there's no email address on file, the system can't contact this user directly — so you'll need to pass their username and temporary password to them yourself. Upon the first log in they'll be prompted to set their own password.

Tips for creating a username:

  • Use the format firstname.lastname — for example, John.Smith.

  • If that's already taken, add a number to the end — for example, John.Smith2.

  • Usernames can't be in email format, so avoid the "@" symbol.
