Making Appointment available to book online

As part of Hero's mission to bring online appointment booking from 16% to 80%, we have created our online booking feature which allows you to make appointments publicly available through your website, thus reducing the burden on receptionists.

We understand that as a practice you need to retain control of what can be booked online through your website therefore there are 3 ways to make appointments bookable online, Single Appointment Links, Online Booking Portal, and Custom Booking Flows.

Single Appointment Links

Single appointment links allow you to make a specific appointment bookable on your website, these are great if you want to make a blog post or have a dedicated page for a service.

Step 1: Check your appointment is available through Hero (Skip if you know your appointment is already in Hero)

To check if an appointment has been set up in Hero, go to Settings>Services& chargeable items>Appointments; this page will show you all the appointments you have available in Hero.

Step 2: Create a booking link

Go to the Home page and click on the tile Create booking link, this will open the link build window.

Here you need to select which locations and appointment you want to create the link for. You now have the option to specify a practitioner (useful if you are adding a link to a practitioner profile on your page), or you can select all and this will show the all the available times for that appointment.

Once you have specified the Location, Appointment and Practitioner you can click Create link.

Step 3: Copy the link and add it to your website

Hero has now created a URL for the Location, Appointment, and Practitioner you selected, you can copy this URL and attach it to your website.

Online booking portal

The Online booking portal is a single page where you can display all the appointments you wish to make available online. It acts as a catalog of appointments that patients can choose from rather than having to call reception to request an appointment.

Step 1: Choose your appointment to make available

Log into Hero and navigate to the appointment page (Settings>Services& chargeable items>Appointments), in the column Visible to patients you will be able to see if the appointment will appear in the booking portal.

To change this you can choose the appointment (Options>Edit>Online booking) and change the check box Visible on location booking page.

Step 2: Get the booking portal URL

To find the URL of the booking portal, go to the locations page (Setting>Your business>Locations), this will show you all the locations you have set up in Hero. Find the location page you would like to generate the portal for and click Options>Edit. In the section details, you will find the Booking URL, this can be copied and added to your website.

Custom booking flows

Custom booking flows allow you to create a link for a specific combination of locations, practitioners, and appointments. An example of how this can be used is for a condition-specific page on your website you can filter out all the appointments that are not appropriate for that web page.
