How does 'Tachograph data downloads' work?

In the Tachograph data downloads section you can check tachograph company card and server statuses as well as all the main information about driver cards, tachograph devices, if remote downloads are supported, if the tachograph device is locked with a company card, next calibration date, and how many days ago vehicle and driver files were downloaded.


'Drivers' tab

In the 'Drivers' tab you will see your drivers, their tacho card number, if they belong to any depot, how many days have passed since their last driver file download and their card's expiration date.


'Vehicles' tab

On the 'Vehicles' tab, you can see your units/vehicles, if they belong to any depot, if remote download is supported, the tachograph's details, if the tachograph is locked with a company card, how many days have passed since the last download of vehicle files and see the next calibration date.

Remote download support

In the 'Remote download support' column you will find different statuses depending on if we could successfully communicate to that specific vehicle's telematic device and tachograph device.

You will find the following statuses:

  • ⬜ Supported: This means we have successfully communicated to the telematics and tachograph device inside the vehicle in the last 21 days.

  • 🟨 Unknown: This means we cannot communicate with the telematics device (for example, the device might not have signal).

  • 🟥 Failing: This status shows up when we can communicate with the telematics device, but it cannot communicate with the tachograph device, in addition, it could previously communicate with it. (Indicative that something is failing or something has gone wrong recently).

  • 🟥 Not supported: This indicates we can communicate with the vehicle's telematics device, but we cannot communicate with the tachograph device and we have never been able to do so.

Locked with company card

The 'Locked with company card' column will show you if that specific tachograph device has been 'Locked' with a company card.

🚨 If a tachograph device is not 'Locked' with a company card, you might get a fine from the respective authorities of your country. It can also lead to tachograph file download failures or downloads of files with missing data.

In the 'Locked with company card' column you will find the following statuses:

  • ⬜ Locked: This means the tachograph device in the vehicle has been 'locked' with a compatible company card and also, the vehicle and company card are in the same depot.

  • 🟨 Unknown: This means we don't have any information about the locking status because remote downloads have never occurred successfully.

  • 🟥 Not locked: The tachograph device in the vehicle hasn't been 'locked' with a company card.

  • 🟥 Warning: The tachograph device in the vehicle is locked with a company card, but the remote downloads could fail because, either:

    • The tacho device in the vehicle is locked with a company card not compatible with any cards currently added to the platform (it's most likely locked with a company card that belongs to a different company).

    • Or, the tachograph device in the vehicle is locked with a known card, but the company card and the vehicle are placed in different depots, so the remote download process could have issues.

Locked tool tips

In the 'Locked with company card' column, you can use the tool tip icons and see the company card that the tachograph device is locked with, along with the company card's depot and the vehicle's depot, which should match.

If the tachograph device is not locked with any company card or with an unrecognized one, you will see the following icon:


'Servers/Cards' tab

In this tab, you will find important information about your Company Cards and their hosting Server status. This information is crucial for maintaining up-to-date operations and ensuring compliance with regulatory requirements.

On the 'Server status' column and the 'Company card status' column, you will find a tooltip icon that will show you the last time the status was checked.

Columns

  • Server ID: Identification code of the server to which the company card is connected to.

  • Server Status: Here you will see the status of the server. The server can be 'Down' if it's unavailable or 'OK' if it's available and working well.

  • Card ID: Identification code of the Company Card.

  • Card expiration date: Expiration date of the Company Card.

  • Depot: The assigned depot for this Company Card.

  • Card status: Here you will see the status of the Company Card. The Company Card can be 'Down' if it's unavailable or 'OK' if it's available and working well.


Days since last download

The 'Days since last download' column appears in both the 'Vehicles' tab and the 'Drivers' tab and it indicates how many days ago was the last tachograph file download.

The minimum amount of days tachograph files need to be downloaded, depends on the type of file:

  • Vehicle files have to be downloaded at least every 90 days.

  • Driver files have to be downloaded at least every 28 days.

To help you keep track of regulatory download compliance, we have color coded these numbers:

  • Recently downloaded: will appear in gray, you don't have to worry about these.

  • Due soon: will appear in yellow to remind you that the required download should be done soon.

  • Overdue: will appear in red to warn you that more days than allowed have passed.

Hover your cursor over the number to see the exact date and time of the last download.
