Creating and Editing Companies

Overview

Companies limit portfolio and entity visibility to users within FundApps. This allows you to define which company results each user can access. By default, your environment contains a single top-level company that users and portfolios can be assigned to.

Admin users can add companies via the Companies screen (Admin and settings > Setup > Companies).

Information Barriers in FundApps

In your FundApps environment, information barriers limit accessibility and viewing rights. Set up different companies and limit access based on user permissions to create these barriers. You can read more about the different types of user permissions here.

You will need to set up different companies to create information barriers. In the example shown above, we have ‘FundApps’ as the top-level company, which has two companies that need to segregate information via information barriers - ‘FundApps AM’ and ‘FundApps AM USA’.

Once the lower-level entities have been set up, you will have to assign users and portfolios to them.

Two fields are required when creating a company:

  • Name

  • Parent Company

    After creating a company, assign users, portfolios, and entities to it.

Portfolio Visibility

User portfolio visibility is limited to the portfolios of their company and its sub-companies.

For example, if Company has sub-companies Client A and Client B:

  • A user assigned to Company can see portfolios for Company, Client A, and Client B.

  • A user assigned to Client A can only see portfolios assigned to Client A.

Users

When creating or editing users, assign them to a lower-level company using the Company field.

Portfolios and Entities

Assign a lower-level company to portfolios and entities using the Company field:

  1. Go to Portfolios & Entities.

  2. Select an entity.

  3. Select the relevant company under the Company drop-down in Basic Properties.

Once configured and a positions file has run, users assigned to FundApps AM can only view results for portfolios and entities with FundApps AM set as their company.

User Access Levels

Users at the top-level company (typically admins) can view all data across underlying companies, including results, uploaded documents, and previous uploads. Review the number of users with top-level access regularly to protect data privacy.

Users in underlying companies with information barriers can only view information relevant to their assigned company. For example, users under FundApps AM can only view results, documents, and portfolios for that company.

Top-level users can view the platform from a specific company's perspective by selecting that company from the Company drop-down in the top right corner.

Handling Documents

If top-level users upload documents to disclosures for an underlying company, users in that underlying company cannot download or action those documents. This prevents sensitive company-wide information from being exposed.

Q. How can I change the name of the Parent Company?

A. Please contact Support specifying the name change, and the Client Services team will process it.

Q. Should you reference the top-level entity of the top-level company within the aggregation structure of a subsidiary?

A. Yes, where information barriers exist, and clients have set up a top-level company with a subsidiary (as indicated by FA Capital Partners in the picture highlighted directly above) when uploading a portfolio file for the subsidiary, the top-level entity should be referenced under the relevant portfolio ID columns. If a change in the aggregation structure from either the subsidiary or within the portfolios file upload from the top-level company, this will be reflected in both.

Q. Can users on the top-level company be restricted from viewing portfolios assigned to certain sub-companies?

A. No. The company setup works in a hierarchy structure, which allows users of the top-level company to see all portfolios at its level and below.
