Document Types are used to identify documents' restriction used in accessing and/or managing documents in the Equus Platform. They are defined at the System level, and may be overridden at the Company level. These types are available in a drop-down list when uploading documents throughout the system.
Navigate to the System level Document Types screen by utilizing the Global Search. This screen lists all available Document Types.
You can use this screen to create new document types and manage existing ones. Click
to create new types and click
to edit existing types for the associated Document Type.
Document Type Details Section
The Document Type Details screen appears when you create a new Document Type or when you view or edit an existing one.
Inactive - When ticked, the Document Type is not available in drop down lists. Note: This may not show for some Equus delivered Document Types.
System Name - This is a non-editable field and will only show for Equus created document types; user created document types will not contain this field.
System Code - This is a non-editable field and will only show for Equus created document types; user created document types will not contain this field.
Alias Name - The name that will show in drop down lists and can be different from a System Name if one exists.
Description - A brief overview of the Document Type.
Category – Determines the section within the All Documents page of the Mobile Employee Experience a given document will appear in. Categories can be maintained in the Lookup Maintenance screen, with Lookup Field of Document Type Category.
Data Sensitivity – Can be used to limit access users have to documents associated with that type. A user’s data sensitivity is set within Security Role Maintenance, and then the user is associated with a Security Role.
Available on all Screens - When checked, indicates the Document Type is available as an option on any screen when uploading a document. Note: This may not be editable for some Equus delivered Document Types.
Screen Availability Exceptions - Used in conjunction with the Available On All Screens checkbox. Note: This may not be editable for some Equus delivered Document Types.
When Available on All Screens is ticked, screens that show under Screen Availability Exceptions will NOT display the Document Type as an option when uploading a document.
When Available on All Screens is NOT ticked, screens that show under Screen Availability Exceptions WILL display the Document Type as an option when uploading a document.
Document Type Company Override Screen
The Company level Document Type Company Override screen allows users to inactivate the Document Type for the company. Navigate to the screen by utilizing the Global Search. It can also be accessed under the Systems Overrides menu group at the Company level, for a selected Company. If the screen does not appear under the menu group, unhide the menu item for it to appear on screen.
