What is Tax Service Eligibility Batch and why is it useful?

The Tax Service Eligibility Batch functionality enables a user to create Tax Services records for a specific country and year that will be applied to assignments (excluding Business Travelers) that meet specified criteria. This reduces the time and effort dedicated to creating the tax services records manually one at a time for each assignment.


Once the batch process is completed a user can view a list of the assignments where Tax Service records have been created. Batches will indicate whether they were created successfully, in error, or if they were excluded from being created due to user selection. The user will also have the option, once the batch is completed, to drill into each Tax Service record to make corrections as needed.

User's Security Rights

In order for a user to use the Tax Service Eligibility functionality, the user’s role must have View, Edit and Add security rights to the Tax Service Eligibility Batch and Tax Service Eligibility Batch Details screens. Adding rights to these screens gives the user the ability to create a batch, but in order choose any selection criteria or to process a batch, the role requires Edit rights.

Create and Fill a Batch

Using the Global Search feature, navigate to the Tax Service Eligibility Batches screen at the Company level. A list of tax services eligibility batches appears in the grid. Click on the

to create a new batch.

The Tax Service Eligibility Batch Details screen is where the criteria for a new Tax Service Eligibility batch is specified and the batch is processed.

Important fields on this screen include:

  • Description: The identifying name given to the batch.

  • Tax Service: The service for which the batch applies. Select from:

    • <Shadow Payroll Services>

    • <Tax Briefing>

    • <Tax Equalization>

    • <Tax Protection>

    • <Tax Return>

  • Country: The selected country will be used as the tax country for all Tax Service Eligibility records created in the batch regardless of the Assignment Home/Host Country. The field displays a list of all countries.

  • Tax Year: The specified tax year to apply to the eligibility rules

  • Status: A defined list of standings for the eligibility record. Select from:

    • <Authorized>

    • <Cancelled>

    • <Provisional>

  • Exclude from Automatic Calculations: Records created by the Tax Service Eligibility Batch Details screen that have been marked to Exclude from Automatic Calculations will prevent modification of the Tax Service Eligibility records when running Tax Service Eligibility calculations

  • Comments: A free-form field where additional information can be added about the specific record

The Assignment Selection Criteria section contains a conditions grid that let users configure conditions using AND/OR logic to combine multiple conditions. To add specific conditions to the batch, click the

button and configure the rule for the appropriate limiting fields. Enter the country in the Assignment Selection Criteria if you wish to create Tax Service Eligibility records only for assignments that have this Home/Host country.

Process a batch

Once the criteria is selected, click the

button. A list of all active assignments matching the criteria will show on the same screen. A user can select which assignments should be included before processing the batch by checking or unchecking the checkbox next to the assignment. Once the records are selected, click

Note - Assignments where a user does not have assignment access rights will not be displayed in the batch grid for selection or processed.

The Build Status field displays how many records out of the total have been created and if any errors occurred.

After processing the batch, the Build Status field is set to "Completed" if there are no error. Navigation links taking the user to the newly created record appears under the "Created Tax Service Eligibility" column.

If there are records within a batch that fail to be created for any reason, the Build Status field is set to "Processed with Errors" and the reason for failure is displayed for those records under the Error Information column in the grid.

Things to Note

  • It is recommended to use either the Tax Service Eligibility Batch or the Tax Service Eligibility Rules running through Quick Workflow to be certain of the values and avoid any values unintended by using both methods.
