Resource records can be created at the System level Resource screen. Navigate to the screen by utilizing the Global Search, and click on
.
The Resource Details screen will appear when creating a new Resource, or when viewing/editing an existing one. The screen consists of 6 sections:
It is possible to create a resource by populating only the mandatory fields: Resource Name, First Name and Last Name.
Note: If the record is saved with the value <**Please Select**> in the Role Association Default Rule field, the resource will have access to all Roles by default. Similarly, the resource will have access to all Companies if the same value is used in the Company Association Default Rule field.
Resource Details
Resource Name*: Full name as this name will display in the resource drop down list in the Equus Platform. It can be up to 50 alphanumeric characters and must be unique.
First Name*: can be up to 50 alphanumeric characters
Last Name*: can be up to 50 alphanumeric characters
Inactive: an unticked checkbox indicates an active resource, a ticked checkbox indicates an inactive resource. Inactive resources cannot be assigned to Employees, Relocations, etc.
User Id: a drop down list of available user IDs. This is a type-ahead search drop-down with an added link to allow for quick navigation to the selected user
Email: can be up to 100 alphanumeric characters
Address
The following fields are available under the Address section:
Address Line 1: can be up to 200 alphanumeric characters.
Address Line 2: can be up to 200 alphanumeric characters.
Address Line 3: can be up to 200 alphanumeric characters.
Country: a drop down list of available countries.
State/Province: a drop down list of available States/Provinces associated with the selected country. It is enabled the Country is selected
Select City: a drop down list of available cites associated with the selected State/Province. It is enabled the State/Province is selected.
City: can be up to 50 alphanumeric characters.
Postal Code: can be up to 50 alphanumeric characters.
Contact Numbers
The following fields are available under the Resource Picture section:
Phone: can be up to 50 alphanumeric characters.
Fax: can be up to 50 alphanumeric characters.
After Hours Phone: can be up to 50 alphanumeric characters.
Mobile Phone: can be up to 50 alphanumeric characters.
Phone number validation exists for phone number fields on this page to ensure phone numbers have been entered based on the suggested format, +123 123456789.
If a number does not meet the requirements a warning will be shown next to those fields as well as a message at the top of the screen.
This will not prevent contact details from savings on the page and is just a suggestion to fix those fields to match the format. Following the suggested format makes it more likely that these phone numbers are clickable on mobile devices.
Resource Picture
The following fields are available under the Resource Picture section:
Picture: Click on the icon to upload a picture. This picture is displayed together with the resource's details in the Mobile Employee Experience.
Preview: "No picture uploaded** is displayed unless a picture is uploaded to the record.
