The Earnings Statements card is a single, easy-to-access location for an employee’s compensation statements. Any earnings statement that has been uploaded since the last time the employee signed into the portal will be identified as “New”. These statements will show in a “New” status until 24 hours after the employee signs in. In the header, the total number of “New” earnings statements will be displayed.
The browser screen must be refreshed to see earning statements added while the employee is on the portal. The card will not display if no earning statements are available.
Clicking on the card shows the Earning Statements summary. This displays the five (5) most-recently created / published statements in descending order of (newest at the top). The summary will only display if there is at least one statement available to the employee.
The following are displayed:
Compensation Worksheets that have a report generated for the employee on both the Compensation Worksheets and the Compensation Worksheet Report Batch
Compensation Calculations that have a report generated for the employee on the Compensation Batches screen, Report Batches
Click on the [All Earnings Statements] button within the card or Earning Statements from the navigation menu to view the All Earning Statements screen.
All Earning Statements are listed on the All Earnings Statements screen.
The following information is displayed for each statement:
The statement’s name:
For compensation worksheets, the name is the Payroll Calendar Begin Date – End Date of the worksheet.
For compensation calculations, the name is the Effective Date from the Compensation Batch Details
For manually uploaded compensation calculation documents, the name is the Effective Date from the New Compensation Calculation
"New" or “Adjusted” badge. "Adjusted" indicates whether the compensation worksheet contains an adjustment to a previous worksheet or the worksheet is a retro worksheet. This indicator only applies to compensation worksheets.
The statement’s Posted Date (Note: this is the server date, not necessarily the date of the user’s location)
To download an earnings statement, click the statement’s row. The statement will be downloaded to the user’s hard disk according to the browser’s settings.
Things to note
The Earning Statements information that shows on the portal is not configured in the Portal Configuration screen. The earning statements that are visible to the employee is configured per compensation worksheet and compensation calculation. An administrator can determine whether or not to make these statements visible to employees. For more information on this, please refer to the Compensation Calculation User Manual and the Compensation Module User Manual.
