Overview

Pulse checks can be configured at the System or Company level. Both screens can be found using the configuration search. If the same pulse check is to be receive by all employees across all companies, configure the pulse check at a system level otherwise configure it a company level.

New Pulse Check

To create a new pulse check, click

in the Pulse Check Templates grid.

To modify an existing one, click the

pencil

of an existing template.

A new pulse check template can be created by defining a new template or by copying an existing one. When copying an existing one, a Template to Copy field will appear. All active templates at a system and company level will be displayed in the drop down list for selection.

When creating a new template, populate the mandatory fields:

  • Name: Internal name

  • Display Name: Name that will be displayed in the Mobile Employee Experience (MEE). If the Pulse Check is sent via a Quick Workflow, the use of Merge Tags are supported. The user report associated with the quick workflow will be used to populate the Merge Tags used throughout the configuration page.

Once the template has been saved, more fields will appear on screen. By default, all new pulse check templates saved or copied are created inactive.

Questions

Questions can be added by clicking

in the the Questions grid. Note, any updates made to the Pulse Check Template screen prior to adding questions will be unsaved unless the

button has been clicked.

By default, a question will be active when added. Tick the inactive box if the question is no longer required. Add a number in the Sequence field to order the questions:

There are several response types to select from:

  • Date

  • Drop-down list

  • Free Text

  • Likelihood, 1-10

  • Money and Currency

  • Net Promoter Score, 0-10

  • Number

  • Rating 1-10

  • Star Rating

  • Yes/No

When <Drop-down list> is selected, the Response Classification Group Code field appears. The values displayed are the lookup fields from the System Lookup Maintenance values. When a lookup field is selected, the values of the lookup fields will be displayed in the MEE.

When the a response type is selected, populate the Question Text field. If the Pulse Check template is sent via a Quick Workflow, the use of Merge Tags are supported in this field.

Note: The character limit for answers to Free Text response types is 50000 characters.

Is Situational Question

It may be necessary to add additional conditions so that the question appears for some assignments and not for others. For this section to appear, click on the Situational Question checkbox. Click

so that the Conditions section of the Pulse Check Template Question screen are displayed. When adding a condition to the Question, there is a choice of using Field or Business Rule under the Source column of the grid. Configuring filters for pulse check questions works in a similar to the filters used by Quick Workflows.

When a Pulse Check is sent, only questions with rules that equate to True are shown to the user and stored in the database.

Prepopulate Response

Selecting Prepopulate Response will use a selected data source and target field to populate the response before a user submits the pulse check.

Map Submitted Response

Map Submitted Response will use the selected data source and target field to map the submitted pulse check response back to a specified target field.

Note, Prepopulate and Map Submitted Response support fields on the following tables:

  • Assignment

  • Assignment Custom Field

  • Employee

  • Employee Custom Field

  • Single Record Assignment User Tables

to save the changes and remain on the screen or

to save changes and create the next question. Clicking

will take the user back to the Pulse Check Template screen.

Intro./Closing Messages

Introduction and closing messages can be optionally configured to display before the users sees the questions and after their responses are submitted respectively. Introduction Message and Closing Message fields support rich text formatting and if the Pulse Check template is sent via a Quick Workflow, the use of Merge Tags are supported.

Expire After Days: This is an optional field. Enter a number between 1-365 days or leave blank. When a integer is used, this will be regarded as calendar days. Pulse Checks with no expiration will always appear until completed in the MEE Tasks area as being due today. Pulse Checks with an expiration will appear on the Task List with their expiration date. When this field is populated, expired Pulse Checks automatically disappear from the Task List.

Show Announcement: Click to display a Portal Announcement in addition to the pulse check appearing as a task. Displaying the pulse check in the Mobile Employee Experience Announcement section helps draw additional attention to the important event such as the company's annual survey.

  • Announcement Body: The description of the Announcement. Note this also supports HTML.

  • Announcement Image: Click [Select file] to upload an image file. This image will be displayed in the Announcement area on the Mobile Employee Experience Home Page. Supported file types are: png, jpeg, jpg and gif.

Scheduling a Pulse Check

Pulse checks can also be sent on a regular schedule e.g. quarterly, monthly, etc. To set up a schedule, click on the Schedule tab and tick the Schedule this pulse check check box.

Assignment Filters

When ticked, the Assignment Filters section appears. Click

add conditions button

to display the Conditions section of the Pulse Check Template Question screen. When adding a condition to the filters, there is a choice of using Field or Business Rule under the Source column of the grid. Configuring filters for pulse check questions works in a similar to the filters used by Quick Workflows. When a scheduled pulse check is triggered, only assignments that meet the conditions criteria receive the Pulse Check.

Range of Recurrence

The Range of Recurrence section gives the schedule its start and potential end by date.

  • Start Date – This is the date the pulse check scheduler will begin to execute the schedule as long as it is active. If the date is in the past, then the schedule will execute based on the next time the frequency is to occur (ex: Today is 01/15/2020. Schedule is set to run every month on the first of the month. In this case, the next time it would run is on 02/01/2020).

  • No End Date – If selected, this schedule will run forever until it is deleted or set to inactive.

  • End By – If selected, the schedule will run until the date specified in the date field.

Recurrence Pattern

The Recurrence Pattern section helps you set the frequency of how often the schedule will be executed.

  • Schedule Recurrence – sets how often the schedule will execute and be sent to the MEE.

  • Schedule Execution Time – sets the time of day that the report schedule will execute each recurrence based on the Start Date and Schedule Recurrence (ex: 08:55). Note that time is displayed in a 24-hour format for the Scheduled Execution Time, but if cultural settings on the browser for a user are set to display time in a 12-hour format, it will display once executed in that format in the Execution History (i.e. 22:30, also known as 10:30 PM for users of the 12-hour clock format)

The Schedule Recurrence choices include:

Monthly - If you enter a recurrence pattern with a day that does not exist for the month, it will default to the last day of that month (ex: the 31st day of every 2 months = if month has a 31st, send on 31st, if month has no 31st, send on last day of month). A zero (0) is not allowed to be entered in the recurrence field.

Yearly - can be on a specific day of a month by choosing the On selection (ex: January 31st) or on a specific day of the month that could change each recurrence by using the On the selection (ex: 2nd Wednesday of June). A zero (0) is not allowed to be entered in the recurrence field.

Things to Note

  • See an example of a configured pulse check template with merge tags intended to be sent via a Quick Workflow (QWF)

  • See examples of pulse checks when sent to the MEE

  • There is no limit to the number of questions a pulse check template can have.

  • Changing a Pulse Check template configuration, including deleting it or marking it inactive, does not affect pending, submitted, or expired Pulse Checks.

  • Scheduled time - will send to all active assignments based on the configured schedule. Note - if a system pulse check template is used, it will send the same pulse check to all active assignments to all companies. Configure the pulse check template at a company level if you want the different templates to be published to all active assignment within a company.

  • When making a template inactive, the pulse check will not be sent as part of a schedule and will not be sent by a QWF even if configured to do so.

  • Inactive questions will not appear to the employee and will not show up in the Pulse Check responses when reporting

  • The "Assignment Filters" section on the Schedule Tab of the Pulse Check Template screen honors the Relocation Term (Singular) system preference (RELOTERMSI)

  • When mapping response to the 'Assignment Country From' or 'To' target fields, the 'From' and 'To Currency' will be updated to match the currency setup on the Country page

  • The following data types are available for Target fields when prepopulating and mapping - Boolean, Date, Drop-Down List (will not have inactive response values when pre-populating or mapping submitted responses), Classification Look-ups, Drop-Down List (SQL), Drop-Down List (Custom Field), Money and Currency, Number, Text
