Overview
Hierarchical groups are can added, edited, or deleted from the Hierarchical Lookup Maintenance Details screen.
Creating a New Hierarchical Group
The following fields are available on the Hierarchical Lookup Maintenance Details screen:
Inactive – When checked, the hierarchical group is no longer available for configuration on user tables.
Group Name – Required for all hierarchies and must be unique among all hierarchies created.
Parent Hierarchical Group – The group for which the hierarchy is a child. Once entries are added to the group, this will become read only.
Clicking the [New] button creates an editable row under the Hierarchical Lookup Group Entries section.
The following fields become available for configuration:
Delete – When checked, the selected row will be deleted upon clicking [Save].
Display Value – The name that is shown on a hierarchical list.
Code – A code that can be shown alongside the Display Value for further clarification. This value must be unique and is required.
Parent Hierarchical Lookup Group Entry - The preceding hierarchy for which the record is a value.
Display Order - The sequence in which the entry values will appear in a drop-down list.
Inactive – Checking the box will make the row entry inactive; meaning the value can no longer be chosen as a hierarchical value.
Click
to save the hierarchical lookup group value. Click
to remove the hierarchical lookup group and all corresponding hierarchical group entries.
Delete Rules
Due to the connections that can be established between various hierarchical groups and hierarchical group entries, there are certain circumstances in which a group value or entry value cannot be deleted from the system. An error will be given explaining why the deletion cannot occur. An entry CANNOT be deleted if any of the following situation exists:
Any other entries within a group reference the entry as a parent.
The entry is used as a field on a user table.
The entry has been selected for a record on a user page.
A group CANNOT be deleted if any of the following situations exist:
The group is selected as a parent group for another hierarchical group.
The group is selected within a user table.
Configuring Hierarchical Fields on User Tables
Hierarchical Lookup Groups are configured for use on user pages. This is done by adding them to user tables. More information on user tables and user pages can be found in the User Tables and User Pages User Manual. Hierarchical Lookup Groups are configured on user tables by using the <Hierarchical Lookup> Field Type. Any active configured hierarchical groups will be displayed in the Hierarchical Lookup Group field. When setting up hierarchical groups in a user table, it is important to take these steps:
Configure the top level parent hierarchical group first.
This group will not have a Parent Hierarchical Field
The group should be selected from the Hierarchical Lookup Group
Children of the parent hierarchical group should be configured next.
The parent hierarchical group set up first should be the value chosen for the Parent Hierarchical Field.
The children of the parent group should display as choices and be selected from the Hierarchical Lookup Group
If the hierarchy needs modification or a new hierarchy needs to be added, a link to the Hierarchical Lookup Maintenance page is located on the bottom right-hand corner of the User Table page.
Configuring Hierarchical Fields on User Pages
Hierarchical Lookup Group fields are created on user pages in the same fashion as all fields are created on user pages. More information on creating user pages can be found in the User Tables and User Pages User Manual. One critical point to keep in mind is that parent hierarchical lookup groups should be configured prior to the child groups sequentially in order to prevent confusion on the page.
