Viewing policy exception fields and raising an exception

An exception may be required in instances where an employee has requested something other than the standard services authorized for the assignment. To register an exception, navigate to the Policy Fields tab on the Policy Benefits/Exceptions screen. Here you will see the list of possible policy exceptions. Policy fields are configured on the Policy Fields Tab on the Assignment Policy screen.

Assignment Relocation Policy Field summary shows <All> for the Screen field by default and this displays all policy field exceptions. Click

for the appropriate policy field.

The Exception Details pop-up window opens. Enter the details of the exception and click the

button. If you wish to attach documents or send a note/communication, you must first save the record.

Once the record is saved, the

appears in the Documents grid allowing you to attach documents. The

button appears allowing you to add a note/communication.

If the approver has not given a response and the user would like to forward the approval to a new resource or individual they can click on the

button to send a new email to the new approver. Before clicking the

button, select a new Resource or remove the resource and enter a new Email and Name for the approver. This will send a new link to the new details provided and the previous link will no longer work.

If the Policy Exception "Use old Policy Field Exceptions routing method and ignore Approval Ruleset" System Preference is enabled, the routing section will be available. The exception can either be routed for approval or updated manually if the approval/denial has already been received by other means. To route the exception, select the ‘Route Exception’ option; recipient fields will appear. Select from the ‘Route To’ list or manually enter the name and email address and click

If the “Approvers must be authorized with SSO/Login” is enabled in the System Preference, an email address associated with the Equus Platform user is recommended. A warning message will be displayed if this condition is not met.

The recipient will receive an email notification requesting their review of the exception; they can access the exception via the included link and provide their response. The Approval Link Window (APRLNKWNDW) system preference sets the limit in days that the link will work. Also, if the “Approvers must be authorized with SSO/Login” is enabled, the approver must be a known user of the Equus Platform to open the said link, otherwise, access to this window will be restricted.

Email Approval

This link will bring the recipient into the Equus Platform to review the exception request. They may choose to approve, deny, or defer the request, as well as be the final approver or route it further. To complete the review, the recipient needs to click the

button.

Approval Request

Alternatively, you can manually approve or deny the exception by selecting the ‘Manually Approve Or Deny’ option; additional fields will appear. Select the appropriate option and click the

If the approver has not given a response and the link has passed its window, internal users will see the email has expired and they can click on the

button to resend a new email to the approver.

The system will automatically track the changes in the review and approval process – these changes will appear in the Policy Fields screen. By default, the policy fields tab shows all policy fields, number of exceptions and the number of exceptions in the status categories. Click on the

icon to view more details about the exception.

Alternatively, policy fields linked to a specific screen can be viewed on the screen. The Move Management Summary screen at the Assignment Level below shows the Policy section at the top of the screen. To view the details of a Policy field click

Click on

to open the Exception Details pop-up window for the exception to be created.

Relocation Exception Import

The Relocation Exception Import allows users to add or import Policy Field Exception with an option to associate it to the Policy Field Id. Imported exceptions will be added under the Assignment Exceptions field.

Policy Audit Batch Update

Provided Policy Audit Logic is being used, a Policy Audit Batch Update can be executed to verify that the policy fields have passed the policy audit. A batch can be created at the company or system levels and can be filtered by To Country, Policy, Payroll System and company segments.

As a result, an exception can also be requested. The exception can then be routed for approval or an approval can be recorded on screen.
