In order for the desired benefit amounts for flexible benefits to be saved and costs to be calculated during the Authorization of a Core Flex policy, Authorization User Table fields must be used. Additionally, identical Assignment User Table fields must exist for the purposes of:
Copying benefit choices from the Authorization to the Assignment when the final Assignment is created, and
Generating Cost Estimates and other documents which rely on Assignment tables.
A single Benefit Set can reference multiple User Tables, and multiple Benefit Sets can reference the same User Table. Therefore, the organization of Core Flex User Tables can be customized for readability, business organization, ease of maintenance, etc.
To create both sets of User Tables for use in Core Flex benefit workflows, create an Assignment User Table that is configured in the following way:
Level – Assignment
Table Type – Single-Record
Duplicate at Authorization Level - Yes
Table Fields – Only Field Types of <Money> and <Classification Lookup> are supported for Benefit Choices. Use <Classification Lookup> types to prompt the user with lists of abstracted values such as “# of Home Trips” or “Size of Air Shipment Container”. Use <Money> types to prompt the user for decimal value choices such as “Relocation Lump Sum Amount” or “School Finding Assistance Amount”.
Table fields of Field Type <Classification Lookup> require properly configured Classification Lookup Groups on the Lookup Maintenance page via the system Configuration page. For further information on setting up User Tables, reference the User Table and User Pages User Manual.
Example of an Assignment User Table configured for use with Core Flex benefit choices:
This will create a pair of User Tables in the system - one for Assignment and one for Authorization - and automatically synchronize the configuration of both. The mirrored Authorization User Table does not need to be created, since it is created automatically. It is also not editable by the user.
Any fields added to the Assignment User Table are automatically added to the synchronized Authorization table. Benefit Set Line Items and Core Flex Exception Approval Rules must use the Authorization User Table Fields. Assignment Package documents must use the Assignment User Table Fields.
When selecting User Table fields, the automatically created Authorization fields are identified with an “Auth Stage” prefix added to their display name.
Note that any time a User Table change is saved or a Classification Lookup Group change is saved,
must be clicked in order to make the changes available in the system. Other configuration steps of Core Flex features do not require clearing cache.
Take note that User Table fields store choices and are therefore not required for Core (non-flexible) Benefit Set Line Items because Core benefits offer no choices to the user.
