Managing Records in Screens

You can create, edit, and delete records directly in screens, provided you have permission to modify the relevant object.

You can create, edit, and delete records directly in screens, provided you have permission to modify the relevant object. All changes are recorded in the audit trail, including who made the change, when, and why.


Before You Start

Before creating or changing records, make sure you have permission to modify the object and that you are on the screen that displays it. If you are editing existing records, apply a filter first so only the records you intend to update are shown.


Edit Existing Records


Edit a Single Record

  1. Click the filter icon next to the record so that only that record is shown.

  2. Click Edit.

  3. Make the required changes.

  4. Enter an Audit Comment.

  5. Click Save and Refresh.


Edit Multiple Records

  1. Click Edit. The panel enters edit mode.

  2. Update one or more records directly in the table.

  3. Enter an Audit Comment.

  4. Click Save and Refresh.

Only records you have changed are updated.

While in edit mode, you can also add new rows:

  1. Enter the number of rows to create and click Add.

  2. Enter the required values.

  3. Enter an Audit Comment and save.


Create a New Record


Using the New Button

  1. Click New. A pop-up overlay opens with a blank record.

  2. Enter the required data.

  3. Enter an Audit Comment.

  4. Click Save and Refresh to store the record, or Cancel to discard it.


From a Related Panel

  1. Click Edit on the related panel.

  2. Enter the number of new rows required and click Add.

  3. Enter the data.

  4. Enter an Audit Comment.

  5. Click Save.

Note that if a new record references another object, that related record must already exist before it can be selected.


Delete Records


Delete a Single Record

  1. Click Edit.

  2. In the left-most column, click the checkbox next to the record. A bin icon appears to indicate the row is marked for deletion.

  3. Enter an Audit Comment.

  4. Click Save and Refresh.


Delete Multiple Records

  1. Apply a filter so that only the records you want to remove are shown.

  2. Click Delete All.

  3. Enter an Audit Comment and click OK.

Only the filtered records are deleted.


Referential Integrity

When you attempt to delete a record, the platform checks whether it is referenced by other records. If it is, the deletion is rejected. Related records must be deleted first before the parent record can be removed.


Deleting Records Using a Process
