Setting up Defects and recommendations pipelines

Structure and track the progress of defects and recommendations through stages defines in this setting

Defects and recommendations pipelines help you visually track and manage them through specific workflow stages. Creating custom pipelines allows you to define the exact journey a defect or recommendation takes from identification to resolution.

Defect vs Recommendation: What's the difference?

  • A defect is something that must be fixed - anything affecting safety, performance, or reliability, like a faulty valve or boiler lockout. Defects require immediate attention or scheduled repair to keep the system safe and operational.

  • A recommendation is something that adds value through upgrades, efficiency improvements, or enhancements like smart thermostats or magnetic filters.

How to access the defects and recommendations pipelines setting

➡️ Go to your Profile icon → Choose Settings → Locate Opportunities in the Categories menu → Click View next to Defects and recommendations pipelines

Adding a new pipeline

Pipelines are made up of individual stages. You first define the pipeline name, then build the stages it contains.

➡️ Click Add new pipeline.

Step 1: Basic details

  1. Enter a descriptive name for your pipeline.

  2. Click Continue.

Step 2: Pipeline stages

  1. Click Add new stage.

  2. Enter a stage name (e.g., Identified or Proposal created).

  3. Set a colour to visually represent this stage on the dashboard list view.

  4. Click Save.

  5. Repeat this process for every stage required in the pipeline.

  6. Click Save.

  7. A pop-up will ask if you want to activate the pipeline.

    1. To activate the pipeline immediately, type "Activate" into the text box and click Activate.

    2. To save the pipeline as a draft, leave the text box empty and click Save as draft.

Once activated, the next step is to create the Defect types and Recommendation types so you can assign these pipelines to them.


Managing pipelines

You can adjust your pipelines as your workflows evolve.

Editing a pipeline

You can rename a pipeline or add/edit its stages at any time.

  1. Click Edit next to the pipeline you wish to change.

  2. In step 1, make any required changes to the pipeline name and click Next to proceed.

  3. In step 2, you can add new stages or edit existing ones.

    • To add a stage: Click Add new stage, enter the details, and click Save.

    • To edit a stage: Click the existing stage block to open the edit panel, update the name or colour, and click Save.

    • To delete a stage: Click the existing stage block and select Delete.

    🟨 Note: You cannot delete a stage if there are defects or recommendations currently assigned to it. You must first move those items to a different stage before the delete option becomes available.

  4. Click Save to confirm your changes.

Deleting or archiving a pipeline

You can remove pipelines that are no longer needed. The system handles this differently depending on whether the pipeline has been used.

  1. Find the pipeline you want to remove in the list.

  2. Click Delete.

  3. The system will check if the pipeline contains historical data.

    1. If the pipeline has not been used, you will be prompted to confirm its permanent deletion. Type delete, then click delete again.

    2. If the pipeline has been used, you will be prompted to archive it instead. Type archive, then click archive.
