Manage your Commusoft plan details, licenses, storage allowance, and contract information to keep track of your account activity and ensure optimal utilization. Understanding the licensing options allows you to choose flexible solutions for your team and make adjustments as needed.
View Setting
➡️ Profile Icon > Settings > Billing and Licensing > Licenses > View
License emails go to the email address in your Company details
A signature must be provided when purchasing a license.
Pending licenses are not charged, they will expire after 30 days.
Owner/manager and Financial office staff roles can access Licenses.
License cost is based on plan and license type.

Contracted License
Committed to a 12-month contract, with charges billed monthly.
Cannot be deleted and can only be reduced upon contract renewal.
Monthly Rolling License
Flexible and can be added or removed as needed.
Ideal for temporary staff or probationary periods, billed monthly.
Daily License
For part-time or subcontractor roles, billed retrospectively.
Charges apply when:
A diary event is booked or actioned.
Logging in on a PC/Mac.
Not available on legacy plans.

Each role level inherits all permissions from the roles above it, with additional access added at each level.
Engineer
This user has the most basic access to the system, only what is required for them to view and complete the jobs that they are assigned. They cannot edit their own diaries.
Engineer with diary
This user has the same permissions as a standard engineer but with the added ability to manage their own diary if needed.
Engineer with invoice
This is a standard engineer with the ability to manage their own diary as well as being able to create invoices.
Senior engineer
This user is a standard engineer with the ability to edit everyone’s diary and to create invoices.
Office staff
This user is a standard member of the office staff. This person will generally create and manage jobs and general office work. They can also raise invoices and manage customers but have limited access to reporting areas.
Financial office staff
This user is a standard member of the financial office staff. This person will generally create and manage jobs and invoices, with more extensive reporting features.
Owner/manager
User will have full access to all features.
Responsible for assigning roles and licence to other users.

You can download a spreadsheet that lists the permissions for each feature across Commusoft—showing whether users have read, write, update, or delete access. The data is split by role type, so it’s easy to compare access levels and choose the right configuration for your team.
JMS Storage Allowance
License storage data is pooled across the account:
Startup: 1GB per license
Go Paperless: 10GB per license
Customer Journey: 20GB per license
Automation: 30GB per license
Note: Only Contracted and Rolling licenses include storage data allowances.

User will have full access to the Sales CRM and they are responsible for setting up the templates, application.
Owner/manager
User will have full access to all features.

Sales Storage Allowance
License storage data is pooled across the account:
Add-on: 0GB per license
Starter: 50GB per license
Advanced: 100GB per license
Note: Only Contracted and Rolling licenses include storage data allowances.
Viewing Your Licenses
➡️ Navigate to Profile Icon > Settings > Billing and Licensing > Licenses > View
Purchasing a License
➡️ Purchase New Licenses
Enter the required number.
Review cost and contract details.
Click Save to complete the purchase.
Deleting a License from your account
➡️ Remove Monthly or Daily License
Select either Monthly Rolling or Daily License.
Enter the number of licenses to delete.
Click Delete Licenses to confirm.
Monthly and Daily licenses cannot be deleted if assigned to an active user
Downloading Your Contracts
➡️ Download Contract PDF
Click Download Contracts to receive a Zip file with your signed contracts.
Assign a License
➡️ Profile Icon > Settings > Users
Add new user
Choose Licence
Set Role Level
Save
Edit a licence on an exiting user
➡️ Profile Icon > Settings > Users
View on specific user
Edit licensing details
Choose Licence type
Set Role Level
Save
