Job arrive workflow templates

Learn how to create, configure, and manage job report workflow templates to standardise data collection and streamline job completion.

Create customisable templates with specific questions and information that must be completed before a job is signed off. These templates help gather relevant information for each job type, offering flexibility in workflows and data collection.


View setting

➡️ Profile Icon > Settings > Job report workflow templates > View

  • Import template: Import a .zip file of an existing job arrive workflow template.

    • The files are password protected automatically on download and cannot be opened.

  • Add from marketplace: Add a prebuilt template from the Commusoft marketplace for use.

    • Forms will be added in Draft status for editing before activation.


Add a new template

➡️ Click Add new form

Step 1: Basic details

  • Template name: Enter a name for the template (e.g., Boiler Service Report).

Step 2: Mobile form design

  • Build form: Using the form builder, create the fields for mobile users to complete.

    • Check out the Using the form builder article for an in-depth look at pages, input types and additional builder functionality to create your forms.

Step 3: Customer signature

  • Is a customer signature required: Choose whether to enable mandatory signature capture before job completion.

Step 4: Job descriptions

  • Job descriptions: Add one or more job descriptions to assign the workflow.

    • The first assigned template becomes the default for the job description.

    • Additional templates won’t override the default unless manually changed on the job description.


Managing templates

Download a template

➡️ Action > Download > A .zip will be saved to your downloads folder.

  • The .zip file will be password-protected automatically when generated with a random password. Upload the entire .zip file to import it at a later date.

Clone a template

➡️ Action > Clone > Type Clone > Clone

Edit a template

➡️ Click Edit > Make required edits

  • Click Continue/Save to move to the next step and ensure any changes are saved.

Once assigned, the template becomes non-editable unless removed from the job description directly. This cannot be done from the workflow configuration.

Delete a template

➡️Click Delete > Type Delete > Click Delete

If a template has been used on a job it must be archived instead.

➡️Click Delete > Type Archive > Click Archive

Archiving a template won’t remove it from ongoing/existing appointments.


Organising your templates

Use the folder structure to organise your templates.

  • Create sub-folders: Each folder can contain up to 5 sub-folders

  • Drag & drop: Rearrange templates or folders by dragging and dropping them into folders

  • Bulk move: Tick the boxes next to multiple forms/folders to move them at once

  • Search: Use the search bar to locate templates.

    • If you search from the top-level folder, it will return results from every sub-folder within the structure. If you search within a specific folder, only results within that folder and its sub-folders will be shown.

Add a folder

➡️ Click Add new folder > Type name > Save

Edit a folder

➡️ Click Edit > Amend name > Save

Delete a folder

➡️ Click Delete > Type "Delete" > Click Delete
